Naples, Florida Summary We are seeking an exceptionally adaptable, detail-oriented, and proactive Executive Assistant to provide high-level support to the company founder across both professional and personal domains. This dynamic role involves extensive coordination of special projects, managing complex schedules, travel logistics, guest relations, and procurement. The ideal candidate will demonstrate a deep understanding of the executive's priorities, anticipate needs before they arise, and pivot seamlessly between tasks in a fast-paced, high-standard environment. Key Responsibilities Administrative & Scheduling Support
  • Manage and maintain the executive's email inbox and calendar with precision and discretion.
  • Create and manage a daily task list for the executive, ensuring priorities are aligned with the executive's strategic objectives and deadlines are met.
  • Collaborate closely with all company managers to align priorities and resolve operational challenges swiftly.
  • Anticipate scheduling conflicts and proactively adjust plans to maximize efficiency.
  • Coordinate domestic and international travel arrangements, including accommodations and itineraries. Special Projects & Operations
  • Ensure daily reports from direct reports are received and reviewed, maintaining strong communication channels across all locations.
  • Lead and assist with special projects, including restaurant openings, renovations, expansion initiatives, and strategic community partnerships.
  • Conduct industry and market research, compiling actionable reports to support decision-making.
  • Oversee procurement and vendor relations-source materials, negotiate contracts, and ensure quality and cost-effectiveness.
  • Manage company vehicle scheduling, maintenance, and logistics. Business & Personal Support
  • Represent the executive's vision in dealings with business partners, charities, and community organizations.
  • Manage personal errands and logistics, including occasional driving.
  • Maintain discretion while managing confidential matters across both personal and business spheres. Meeting & Event Coordination
  • Organize, prepare, and oversee logistics for meetings and events, ensuring seamless execution.
  • Research event attendees and prepare briefings with photos and background information to aid executive engagement.
  • Curate guest lists and maintain detailed records of guest preferences to enhance relationship management.
  • Support hospitality-driven events by aligning logistics with the executive's brand standards and expectations. Qualifications & Requirements
  • Minimum of 2 years' experience as an Executive Assistant in a fast-paced, high-expectation environment.
  • Proven ability to adapt quickly, prioritize effectively, and remain calm under pressure.
  • Exceptional organizational, problem-solving, and communication skills.
  • Strong ability to interpret and act on the executive's goals and shifting priorities.
  • Proficient in Microsoft Office Suite; strong research and reporting skills.
  • Comfortable utilizing artificial intelligence tools to increase efficiency, automate routine tasks, and enhance productivity.
  • High level of discretion and professionalism with sensitive information.
  • Occasional weekend work may be required to support key events or business needs.
  • Knowledge of fine dining operations and luxury hospitality preferred.
  • Bachelor's degree in Business Administration, Hospitality, or related field preferred.
