Job Description

Automated Shading & Lighting Control Over 20 years in business. At ASI, we transform spaces. Based in beautiful Naples, Florida, we are a premier, fast-growing team of 25 dedicated professionals providing high-quality shading solutions. Because we are a tight-knit, agile company, our culture is collaborative, fast-paced, and energetic. We are looking for a rockstar Executive Assistant (EA) to serve as the strategic right hand, gatekeeper, and force multiplier for our Owner/CEO. Position Overview As the Executive Assistant, you will do much more than just manage a calendar. You will be the central hub of communication for the CEO, interacting with our tight-knit team of 25, high-value clients, and external partners. You will handle high-level administrative tasks, protect the CEO's time, and oversee special projects that keep the business moving forward efficiently.
Key Responsibilities Calendar & Time Management:
Masterfully manage the CEO's complex calendar, prioritizing requests, scheduling meetings, and ensuring daily schedules run seamlessly.
Communication Gatekeeping:
Act as the primary point of contact for the CEO. Manage inbound emails, phone calls, and correspondence with professionalism and discretion.
Meeting Strategy & Prep:
Prepare agendas, briefs, and materials ahead of key leadership meetings. Attend meetings to take actionable minutes and track follow-up items.
Small-Business Operations support:
Because we are a team of 25, you will occasionally wear multiple hats—assisting with light office management, organizing team-building events, or coordinating vendor relations.
Document & Presentation Creation:
Draft professional emails, presentations, and reports on behalf of the CEO.
Confidentiality:
Handle sensitive business data, financial overview metrics, and personnel information with the utmost discretion.
Qualifications & Skills Experience:
3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting C-level executives (experience in a small-to-medium business environment is a huge plus).
Tech-Savvy:
Highly proficient with Microsoft Office 365, Google Workspace, and project management tools. Experience with CRM software is a plus.
Organization & Anticipation:
Exceptional organizational skills with a proven ability to anticipate needs before they arise. You don't just solve problems; you prevent them.
Communication:
Flawless written and verbal communication skills with a polished, professional demeanor.
Adaptability:
A positive, "can-do" attitude with the flexibility to pivot priorities quickly in a growing business.
Local Presence:
Must be based in or able to reliably commute to our Naples, FL office. What We Offer Competitive base salary commensurate with experience. Health, dental, and vision insurance options. Pay:
$50,000.00 - $70,000.00 per year
