This is not a traditional Executive Assistant position—it is an opportunity to become the CEO's trusted right hand at one of Florida's fastest-growing family-law firms. The Divorce Lawyers - Cabanas Law Firm is seeking a highly accomplished, proactive Executive Assistant who thrives in a fast-moving executive environment. You will work directly with the CEO to organize priorities, accelerate decision-making, coordinate high-impact projects, and ensure critical commitments move from conversation to completion. The ideal candidate is exceptionally organized, financially fluent, technologically confident, and always two steps ahead. You know how to protect an executive's time, manage competing priorities, handle sensitive information with discretion, and communicate professionally with leaders, employees, vendors, and external partners. What Success Looks Like The CEO remains organized, prepared, and focused on the firm's highest priorities. Meetings begin with clear agendas and end with documented owners and deadlines. Executive commitments are tracked and completed without repeated follow-up. Projects move forward efficiently across departments and office locations. Financial and administrative materials are accurate, organized, and readily available. Leadership, employees, and external partners receive timely and professional communication. Confidential information is handled with impeccable discretion.
Compensation:
$95,000 - $120,000
DOE Responsibilities:
Serve as the CEO's trusted partner and central point of coordination for executive priorities. Strategically manage a complex calendar, meetings, appointments, travel, and competing demands. Anticipate the CEO's needs and proactively address scheduling conflicts, missing information, and potential roadblocks. Prepare executive agendas, presentations, reports, briefing materials, correspondence, and meeting notes. Maintain action-item trackers and ensure leaders complete commitments by established deadlines. Coordinate high-priority executive initiatives using Asana, Monday.com, or comparable project-management platforms. Review invoices, budgets, financial reports, accounting materials, and supporting documentation as assigned. Organize and monitor sensitive projects involving multiple departments, offices, and external partners. Serve as a polished and professional liaison between the CEO, leadership team, employees, vendors, and business partners. Manage confidential business, financial, personnel, and executive information with the highest level of discretion. Coordinate meetings and travel throughout Miami-Dade, Broward, and Palm Beach counties. Identify opportunities to improve executive-office systems, communication, organization, and follow-through. Represent the CEO and firm with professionalism, urgency, sound judgment, and exceptional service.
Qualifications:
10+ years of progressive Executive Assistant experience supporting a CEO, founder, owner, or senior executive. Proven success managing a demanding executive calendar in a fast-paced organization. Strong accounting, bookkeeping, financial administration, or budget-support experience. Advanced proficiency in Microsoft Office, including Outlook, Excel, Word, and PowerPoint. Experience using Asana or comparable project-management software. Exceptional written and verbal communication skills. Demonstrated ability to prioritize urgent requests while maintaining accuracy and attention to detail. Strong executive judgment and the confidence to solve problems independently. Proven ability to manage confidential and sensitive information. Ability to create polished reports, presentations, trackers, and executive communications. Reliable transportation and availability to travel throughout Miami-Dade, Broward, and Palm Beach counties. Bachelor's degree preferred. Law-firm, professional-services, or high-growth business experience strongly preferred. Bilingual English and Spanish skills are a plus.
