Job Description:
Position Description Reporting jointly to the President and COO of FRG, the Executive Assistant is a strategic partner who enables two senior leaders to operate at full capacity. The President drives the technology and product-engineering side of the business; the COO leads commercialization, go-to-market, and revenue operations. The EA orchestrates the calendars, communications, and priorities across both functions-anticipating needs, managing competing demands, and keeping high-velocity initiatives moving in a fast-growing SaaS environment. This is a high-trust, high-autonomy role for someone who thrives on ambiguity, exercises sound judgment with confidential information, and can shift fluidly between deep-focus engineering cadences and time-sensitive commercial priorities. Duties and Responsibilities Executive Support (Dual-Principal)
  • Own and optimize complex, frequently changing calendars for both the President and COO, resolving conflicts and protecting focus time based on shifting business priorities.
  • Serve as a gatekeeper and first point of contact, triaging inbound requests, correspondence, and communications on behalf of both executives.
  • Draft, review, and manage executive communications with internal teams, customers, investors, and partners.
  • Prepare briefing materials, agendas, and pre-reads for internal leadership meetings, board interactions, customer calls, and investor updates.
  • Coordinate and book domestic and international travel, itineraries, and expense reporting. Operational & Cross-Functional Coordination
  • Track action items and follow-ups across both the technology and commercial organizations, ensuring deliverables and deadlines don't slip.
  • Coordinate across engineering, product, sales, and customer success to keep cross-functional initiatives aligned and on schedule.
  • Support quarterly planning, OKR tracking, and leadership offsites-logistics, materials, and follow-through.
  • Help run the rhythm of the business: standing meetings, reporting cadences, and recurring reviews. Systems, Tools & Administration
  • Maintain organized, secure digital records including contracts, employee files, and confidential documentation.
  • Manage workflows and documentation in the company's SaaS toolstack (HubSpot, Jira, Confluence, Microsoft Teams).
  • Process billing, invoicing, and bookkeeping tasks in QuickBooks Online; partner with finance on reporting.
  • Identify and implement process improvements that streamline how the executive office operates.
  • Manage relationships with third-party vendors (with guidance from the IT Department) and monitor related activity.
  • Assist with new-hire onboarding, including workspace setup, tooling access, and documentation.
  • Maintain supplies and office logistics as needed. Skills and Qualifications Required
  • 4+ years supporting senior executives (C-suite or founder-level), ideally in a startup or high-growth technology environment.
  • Demonstrated ability to support multiple principals with competing priorities.
  • Exceptional written and verbal communication; comfortable interfacing with customers, investors, and partners on behalf of leadership.
  • Strong project-management, prioritization, and problem-solving skills with proven multitasking under pressure.
  • High degree of discretion and sound judgment handling confidential information.
  • Advanced proficiency with Microsoft Office and Microsoft Teams.
  • Ability to work autonomously, anticipate needs, and operate without close supervision. Preferred
  • Prior experience in a SaaS or B2B software company.
  • Hands-on experience with HubSpot (CRM), Jira, and Confluence.
  • Experience with QuickBooks Online and basic bookkeeping/billing.
  • Familiarity with the pace and norms of engineering/product teams as well as commercial/go-to-market teams.
  • Bachelor's degree preferred; equivalent experience considered.
Salary Range 70-85K with Full Benefits
