Executive Assistant About the Role We are seeking a highly capable Executive Assistant to support C-level leadership in a fast-moving biotech environment. This person will serve as a trusted partner to senior executives, helping manage priorities, coordinate complex schedules, support high-priority meetings, and keep cross-functional work moving smoothly. This is an office-based role located in downtown Sarasota. This role is ideal for someone who has supported senior leadership, operates with discretion, and is confident taking initiative in an evolving environment. Biotech experience is helpful but not required; experience supporting senior executives in a complex, high-growth, or highly coordinated environment is most important. The right person will be proactive, organized, and resourceful, with the ability to anticipate needs, coordinate across teams, and help create structure as priorities evolve. Key Responsibilities Provide high-level administrative and operational support to C-level executives. Manage complex calendars, prioritize scheduling needs, and coordinate internal and external meetings across multiple time zones. Arrange travel, including itineraries, logistics, and expense reporting. Prioritize meetings based on business urgency, leadership needs, and company goals. Help prioritize urgent requests and coordinate with the right people to keep important work moving. Coordinate leadership meetings, board meetings, investor meetings, partner meetings, team events, and other high-priority business activities. Help leadership stay organized by maintaining visibility into key priorities, workstreams, and cross-functional activities. Maintain organized team records, files, shared documentation systems, and collaboration platforms. Support purchase orders, invoice processing, budget tracking, and other administrative workflows as needed. Support special projects, ad hoc requests, and broader business operations activities as needed. Ideal Candidate The ideal candidate is collegial, proactive, highly organized, and comfortable operating in a fast-paced environment. We are looking for someone who is: Experienced supporting C-level executives, senior leadership, or complex cross-functional teams. Highly trustworthy and able to handle confidential information with discretion. Strong at calendar management, scheduling, executive coordination, interacting with external business partners, and follow-up. Organized, detail-oriented, and committed to accuracy. Comfortable working independently while staying aligned with leadership priorities. Qualifications 3+ years of experience as an Executive Assistant, Senior Administrative Assistant, Executive Coordinator, or similar role. Prior experience supporting C-level executives, founders, senior leadership, or high-priority business leaders strongly preferred. Experience coordinating complex calendars, travel, meetings, and shifting priorities. Strong judgment, discretion, and ability to handle confidential information. Excellent organizational, planning, coordination, and follow-up skills. Strong written and verbal communication skills. Comfortable working independently, managing ambiguity, and shifting priorities quickly. Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, Sharepoint and Teams. Willingness to learn and become proficient with new technical platforms, internal systems, and digital tools used to support business operations and team collaboration. Experience with travel booking, expense reporting, document management, and collaboration platforms. Experience with invoice processing, purchase orders, budget tracking, or administrative operations support is a plus. Preferred Skills Experience supporting executives in a fast-moving, high-growth, or highly regulated environment. Experience coordinating leadership meetings, board meetings, investor meetings, or external-facing business activities. Strong problem-solving skills and a continuous improvement mindset. Ability to manage competing priorities with professionalism, responsiveness, and discretion. Compensation The expected salary range for this role is $60,000-$90,000, based on experience and qualifications. Compensation will reflect the level of executive support experience, including prior experience supporting senior leadership, managing complex calendars, coordinating across teams, handling confidential information, and helping organize high-priority company initiatives.
