Part-Time or Full-Time About Gator Capital Management Gator Capital Management is a Tampa-based investment management firm with specialized expertise in the financial services sector. We are seeking a highly organized, detail-oriented professional to provide direct administrative support to our Portfolio Manager and executive team, with the Portfolio Manager serving as the primary focus of the role. This position will also play an important role in client service, account administration, office operations, and special projects. This is a trusted, client-facing position requiring exceptional attention to detail, sound judgment, professionalism, initiative, and follow-through. The ideal candidate anticipates needs, identifies problems, develops practical solutions, and takes ownership of seeing responsibilities through to completion. Because this position involves access to sensitive client and firm information, discretion, integrity, and reliability are essential. Responsibilities Executive Support
  • Manage the Portfolio Manager's calendar, scheduling, meeting coordination, and related follow-up
  • Provide additional administrative support to members of the executive team as needed
  • Anticipate scheduling conflicts, shifting priorities, and materials needed for meetings
  • Coordinate travel, appointments, meetings, and other administrative arrangements
  • Maintain organization and ensure important tasks, communications, and commitments do not fall through the cracks
  • Communicate professionally with clients, colleagues, vendors, and other external contacts on behalf of the Portfolio Manager and executive team Client Service and Account Operations
  • Serve as a professional and responsive point of contact for clients
  • Assist with client onboarding, including opening and maintaining Schwab accounts and establishing eMoney access
  • Serve as the administrative project lead for transitioning existing client accounts from Interactive Brokers to Schwab, including preparing documentation, communicating with clients, tracking each account through completion, resolving routine issues, and escalating exceptions when necessary
  • Prepare, organize, and track account-opening, transfer, money-movement, and other client documentation
  • Support the administrative verification of transfer requests and other client instructions in accordance with firm procedures and approval requirements
  • Track outstanding forms, signatures, approvals, and follow-up items through completion
  • Help clients navigate routine administrative questions and connect them with the appropriate team member when an issue requires investment, operational, or compliance guidance
  • Maintain complete and accurate client records while safeguarding confidential information Office and Administrative Support
  • Help oversee the day-to-day operation and organization of the office
  • Identify operational issues, develop practical solutions, and take initiative to implement approved improvements
  • Coordinate with vendors and service providers and assist with office-related projects
  • Maintain organized electronic and physical records
  • Prepare meeting materials, correspondence, reports, and other documents
  • Support client meetings, firm events, and special projects
  • Identify opportunities to improve administrative processes and implement more efficient workflows
  • Provide general support to the broader Gator Capital team as needed Required Qualifications
  • At least three years of experience in executive support, client service, operations, or a similarly detail-intensive professional environment
  • Exceptional attention to detail and a strong commitment to accuracy
  • Demonstrated initiative and sound judgment, with the ability to identify problems, develop practical solutions, and recognize when an issue should be escalated
  • Excellent organizational and time-management skills
  • Ability to manage competing priorities and follow responsibilities through to completion
  • Professional, polished, and comfortable interacting directly with clients
  • Strong written and verbal communication skills
  • Demonstrated discretion when handling confidential client, executive, and firm information
  • Proactive, resourceful, dependable, and able to take ownership without requiring constant direction
  • Comfortable learning and working across multiple technology platforms
  • Proficiency with Microsoft Office and/or Google Workspace Preferred Qualifications
  • Experience in financial services, investment management, wealth management, an RIA, or a brokerage environment
  • Experience supporting a portfolio manager, financial advisor, or financial-services executive
  • Familiarity with Schwab Advisor Center, Interactive Brokers, eMoney, CRM systems, custodial platforms, or electronic document systems
  • Experience coordinating client onboarding, account openings, account transfers, or money-movement requests Work Schedule This is an in-office position based in Tampa, Florida, and may be structured as either part-time or full-time depending on the candidate's experience, availability, and overall fit. This is not a remote position.
  • Full-time employees will generally work in the office Monday through Friday during regular business hours
  • Part-time candidates should expect approximately 20-25 hours per week in the office
  • The final schedule will be established based on the candidate's availability and the coverage needs of the Portfolio Manager and executive team Compensation and Benefits
  • Full-time base salary: $80,000
  • Part-time hourly rate: $40 per hour
  • The position is also eligible for a discretionary annual bonus

This individual should be equally comfortable welcoming a client, organizing a complex calendar, reviewing paperwork for accuracy and completeness, coordinating an account transition, improving an administrative process, and stepping in wherever help is needed.
Pay:
$80,000.00 per year
