Job Description
We are looking for an experienced Executive Assistant to provide strategic support to a senior executive in Tampa, Florida. This contract-to-permanent position is ideal for someone who can manage competing priorities, anticipate needs before they arise, and help create structure around a fast-moving leadership agenda. The successful candidate will bring a strong executive presence, sound business judgment, and the ability to handle executive operations with a high level of discretion and precision.
Responsibilities:
- Manage the executive's schedule with a long-range approach, ensuring meetings, priorities, and commitments are aligned with broader business goals.
- Act as a dependable partner to senior leadership by anticipating upcoming needs, identifying potential conflicts, and helping the executive stay focused on critical initiatives.
- Organize board and leadership meeting logistics, including preparation of agendas, materials, and follow-up items to keep deliverables on track.
- Participate in board meetings when needed to support coordination, capture action items, and help maintain momentum on next steps.
- Oversee travel planning from start to finish, arranging detailed itineraries that support efficient and productive business travel.
- Prepare, review, and submit expense reports accurately and on time while maintaining organized supporting documentation.
- Provide high-touch administrative support across daily executive operations, handling sensitive matters with confidentiality and sound judgment.
- Offer flexible support outside standard business hours when priorities require additional responsiveness, especially during periods of rapid change or ramp-up.
