Job Overview:
We are seeking a highly organized and proactive Executive Assistant to support our executive team in our administrative office with scheduling meetings to include zoom conference calls, calendar management and coordination and other executive support needs. He/she will have exemplary organizational skills, exhibits professional demeanor with staff and external associates and must be able to manage multiple tasks and maintain the confidentiality of the organization. Competencies The Executive Assistant will be privy to confidential information. This information must be held in strict confidence. Support the CEO in organization of calendar, email and physical documents as well as other administrative tasks Support other executive team members with general office support and tasks from filing to coordination of meetings, event planning and communication Support for and arrange meetings and visits with Board members, staff local government representatives and community leaders Coordinate travel arrangements and prepare detailed itineraries Assist in preparing reports, presentations, and correspondence Conduct research and compile data as needed Act as the point of contact between executives and internal/external clients Handle sensitive information in a confidential manner Perform general clerical duties, including photocopying, faxing, and filing Must be able to manage multiple priorities in a fast-paced environment, be highly organized and self-directed. Work both independently and cooperatively with peers and those in authority. Track Donor gifts and development activity in CRM tool. Education Required Associate degree or 3 years prior experience. Experience Desired Two to three years of experience serving as an executive or administrative assistant. Non-Profit experience strongly preferred. Email and Calendar Management Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software CRM Experiance (Blackbaud ETap, Salesforce, Donor Pro, Donor Perfect, or others). Strong organizational skills with the ability to prioritize tasks Excellent verbal and written communication skills Excellent interpersonal, problem solving and decision-making skills.
