Executive Director (ED) and Chief of Staff (CoS) Position Summary The Executive Assistant provides high-level administrative and operational support exclusively to the Executive Director and Chief of Staff. This role is critical to ensuring the smooth coordination of executive priorities across multiple departments, including Medicaid, Operations, and Billing. The ideal candidate is highly organized, adaptable, and able to think quickly in a fast-paced environment. Key Responsibilities Executive Support Provide direct administrative support to the Executive Director and Chief of Staff. Manage and coordinate executive calendars, scheduling meetings, appointments, and deadlines. Serve as a central point of contact for internal communication related to executive matters. Departmental Administrative Support Assist the Executive Director and Chief of Staff with administrative tasks across the Medicaid, Operations, and Billing departments. Help track tasks, documents, and follow-ups related to departmental initiatives. Support cross-department coordination as directed by the ED and CoS. Meetings & Coordination Organize, schedule, and assist in setting up meetings, including preparing agendas, materials, and logistics. Coordinate meeting schedules to ensure efficiency and minimal conflicts. Assist with meeting follow-ups, notes, and action items as needed. Social Media Management Manage the company's social media presence across all platforms. Capture photos and videos at company events, meetings, and activities. Edit photos and videos into engaging content for social media posting. Collaborate with the Business Development Director to plan, create, and publish additional social media content. Ensure social media content aligns with company branding, messaging, and goals. Organization & Workflow Management Maintain organized records, files, and documentation. Help streamline administrative processes to improve efficiency. Anticipate executive needs and proactively address potential issues. Required Skills & Qualifications Strong organizational and time-management skills with the ability to prioritize competing demands. High level of adaptability and the ability to think quickly and problem-solve. Excellent attention to detail and follow-through. Strong communication and interpersonal skills. Ability to handle sensitive information with professionalism and discretion. Proficiency with standard office and scheduling tools and basic content editing tools. Preferred Characteristics Ability to work independently and as part of a leadership team. Comfortable supporting executives across multiple functional areas. Creative mindset with an eye for visual content and storytelling. Proactive, dependable, and resourceful.
Pay:
$51,353.61 - $70,000.00 per year
