Job Description
Description We are looking for a highly organized and detail-oriented Executive Assistant to provide comprehensive support to senior leadership in Gainesville, Georgia. In this long-term contract role, you will play a pivotal part in managing schedules, coordinating operations, and ensuring seamless communication across teams. This position requires a proactive individual who thrives in a dynamic environment and excels at multitasking.
Responsibilities:
- Manage and maintain complex calendars for senior executives, ensuring schedules are well-organized and projected at least two weeks in advance.
- Coordinate travel arrangements and prepare materials for executive meetings, ensuring all logistics run smoothly.
- Maintain inventory of employee apparel and oversee the timely submission of accurate timesheets for payroll processing.
- Assist in operational projects, including data management and file organization, to support company objectives.
- Communicate effectively, translating technical information into clear, concise language for various audiences.
- Collaborate with a diverse range of personalities, demonstrating professionalism and strong interpersonal skills.
- Support project management tasks by organizing files, tracking data, and ensuring information is up-to-date.
- Utilize relevant software systems, such as Q360 or similar tools, to streamline operations and enhance efficiency.
- Adapt to the needs of the business, showing flexibility and a willingness to take on additional responsibilities as required. Requirements
- Proven experience as an Executive Assistant, preferably supporting senior-level executives.
- Expertise in calendar management, including scheduling and coordinating complex agendas.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Exceptional communication skills, both written and verbal, with the ability to convey information clearly.
- Proficiency in using computer systems and software, including Microsoft Office and operational tools like Q360.
- Demonstrated professionalism and the ability to work well with diverse personalities.
- Background in construction or telecommunications is highly desirable, with cabling experience being a plus.
- Flexibility and adaptability to dynamic business needs, coupled with a proactive approach to problem-solving.
