Full Job Description Summary:
Jensen's Concrete Line Pumping was founded in 2001 to provide high-quality line pump equipment and operators for the Atlanta and North Georgia construction markets. Locally owned and operated, the Jensen's team takes great pride in treating every job as a special opportunity. We are seeking to add a motivated Project Coordinator/Executive Assistant to our growing team. The Project Coordinator/Executive Assistant serves as the right hand for the vice president, assisting with completing projects and ensuring communication and timeline accuracy. The ideal candidate will be hard-working, detail-oriented, adept, and efficient.
Duties and Responsibilities:
Provide comprehensive administrative support to Senior Project Manager (Serve as right hand). Assist with project management tasks, client relations, and follow-up on assigned action items. Manage and maintain calendars, including scheduling meetings, appointments, and travel arrangements. Collect field documents/reports from super intendants for job folders ensuring accuracy and organization. Update HubSpot with client and project information in a timely manner. Serve as the primary point of contact for internal and external communications on behalf of Senior Project Manager. Handle correspondence, emails, and phone calls, and prepare reports, documents, and presentations as needed for clients and internally. Monitor deadlines, prioritize tasks, and support overall project coordination. Manage expense reports and support bookkeeping or budget tracking. Conduct research, create reports, and compile information to support decision-making. Create and maintain organized filing systems for records, documents, and contacts. Assist with the weekly Pressure Grouting Meeting by monitoring project status, preparing materials, and staying informed about each project. Prepare meeting materials, record minutes, track follow-up actions, and update notes. Assist Office Manager with coordination for company events, conferences, and business functions. Assist with personal tasks and errands while upholding professionalism and confidentiality. Additional tasks as needed and assigned by Senior Project Manager.
Education, Skills, and Experience:
  • Bachelor's degree in business administration or a related field is preferred, but not required
  • Administrative experience in the construction industry is preferred
  • 3-5 years' experience as an Executive Assistant, Project Coordinator or other administrative role directly supporting a high-level executive
  • Strong knowledge of administration responsibilities, systems, and procedures.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace.
  • Proficiency in OneDrive
  • Experience with HubSpot preferred but not required
  • Excellent written and verbal communication skills
  • Exceptional organizational skills, with a high degree of attention to detail
  • Aptitude for learning new software and systems
  • Effective time-management and problem-solving skills with the ability to multitask and prioritize tasks
  • Ability to maintain confidentiality
  • Strong interpersonal skills and a positive, proactive attitude

Pay:
$65,000-$80,000 Employer is a Georgia State Board of Workers' Compensation Certified Drug Free Workplace. All employees are subject to a preemployment drug screen and are subject to random drug screens throughout tenure with the employer.
