Executive Administrative Assistant JUBOH Companies Marietta, GA Job Details Part-time | Full-time $10 - $15 an hour 1 day ago Benefits Flexible schedule Qualifications Video conferences (communication methods) Delegation Full Job Description Executive Administrative Assistant We are seeking a highly organized, polished, tech-savvy, and proactive Executive Administrative Assistant to provide high-level administrative, operational, and client support to our executive leadership team. This is a high-trust, high-visibility role for a professional who understands how to support busy executives, manage competing priorities, communicate with confidence, and exercise sound judgment. The Executive Administrative Assistant will serve as a key point of coordination between leadership, clients, partners, team members, and external stakeholders. In addition to traditional executive support, this individual will play an important role in client onboarding and client success , helping ensure new clients receive a professional, organized, and consistent experience from onboarding through ongoing engagement. This is not a basic clerical position. We are looking for someone who can think ahead, protect leadership's time, take ownership of details, communicate professionally, and help create structure around fast-moving priorities. Key ResponsibilitiesExecutive Calendar & Leadership Support Manage complex executive calendars, appointments, meetings, calls, consultations, interviews, and internal and external engagements. Coordinate meeting logistics, calendar invitations, video conferencing links, confirmations, and relevant materials. Monitor executive calendars daily and proactively identify scheduling conflicts, preparation needs, and upcoming priorities. Help protect executive time by screening meeting requests, gathering relevant information, and confirming appropriate requests before scheduling. Support executives with meeting preparation, agendas, documents, follow-up items, and other day-to-day administrative needs. Assist with travel coordination, events, special projects, and executive priorities as needed. Executive Gatekeeping & Communication Serve as a professional first point of contact for executive leadership. Screen incoming calls, emails, messages, inquiries, and meeting requests with professionalism and discretion. Gather the appropriate information before escalating requests or placing matters on executive calendars. Identify and promptly escalate urgent, sensitive, or high-priority matters. Make outbound calls and communicate with clients, partners, vendors, and other stakeholders on behalf of leadership when appropriate. Take accurate notes, relay messages, and ensure important communication receives appropriate follow-up. Represent executive leadership and the organization with professionalism, warmth, confidence, and discretion. Client Onboarding & Client Success Support Support the onboarding process for new clients from initial engagement through successful program or service integration. Welcome new clients and help ensure they understand onboarding requirements, next steps, meetings, documentation, and key points of contact. Coordinate onboarding questionnaires, forms, agreements, scheduling, materials, and internal client records. Track onboarding progress and follow up with clients regarding outstanding documents, information, meetings, or action items. Help ensure clients receive required materials, resources, communications, and program information in a timely and consistent manner. Maintain accurate client information and documentation within company-approved systems. Support communication between clients, coaches, consultants, executives, and internal team members. Assist with client check-ins, scheduling, follow-up communication, and general client success initiatives. Identify gaps in the client experience and help leadership improve onboarding processes, systems, and communication. Ensure each client receives a polished, organized, and consistent experience that reflects the standards of the organization. Administrative & Operational Support Prepare reports, correspondence, presentations, meeting agendas, internal notes, and other business documents. Track meeting action items, assignments, deadlines, and follow-up communication. Maintain organized digital files, client records, contact information, and administrative systems. Assist with data entry, document management, recordkeeping, and process documentation. Support office operations, including supplies, equipment coordination, vendors, and general administrative needs. Maintain familiarity with organizational priorities, active clients, upcoming meetings, and key projects. Handle confidential business, client, financial, and executive information with discretion. Technology Candidates should be comfortable learning and working within multiple technology platforms, including: Google Workspace, including Gmail, Google Calendar, Google Drive, Google Docs, and Google Sheets Microsoft Office Video conferencing and digital scheduling platforms CRM, project management, and client-management systems Experience with Accelo or similar CRM/project management platforms is a plus. Experience Previous experience in executive assistance, administration, office management, client services, client success, customer service, or another professional support role is preferred. Experience directly supporting executives or senior leadership is strongly preferred. Candidates do not need to know every company system on day one, but they must be coachable, resourceful, detail-oriented, technologically comfortable, and able to learn quickly.
