The Executive Assistant provides high-level administrative and correspondence support in a high-visibility front office environment. Operating under the direction of front office leadership (e.g., Branch chief), this role ensures timely, accurate, and protocol-compliant correspondence, records, and coordination that enables leadership decision-making and mission execution. This key position manages daily front office operations, optimizes the Commander's schedule, and acts as the primary point of contact for internal and external stakeholders. The ideal candidate excels in a dynamic, high-tempo environment, demonstrates superior organizational abilities, and ensures the seamless execution of sensitive, mission-critical activities in support of senior military leadership. Responsibilities may include but are not limited to:
Executive Support:
Serving as the principal assistant to the front office staff, facilitating the general officer's daily workflow and ensuring operational efficiency in all front office activities.
Scheduling & Coordination:
Overseeing the calendar, scheduling, and coordinating high-level meetings and engagements with host nation leaders, senior military officials, Congressional delegates, and political leaders. Preparing agendas, briefing materials, and managing engagements from planning through execution.
Communication Liaison:
Acting as the primary conduit for information flow; relay messages, directives, and requests between the Commander and internal/external stakeholders promptly and accurately.
Office Administration:
Managing administrative functions including drafting, editing, and tracking correspondence, maintaining official files/records, and handling incoming and outgoing communications.
Office and Workflow Management:
Organizing and maintaining an efficient front office environment. Monitoring the office's battle rhythm, tracking deadlines, and ensuring all required deliverables are met.
Event & Travel Planning:
Coordinating logistics and requirements for official travel, events, ceremonies, and meetings to ensure successful outcomes and smooth operations.
Confidentiality & Discretion:
Handling sensitive information with strict confidentiality and maintaining the highest standards of integrity and professionalism.
Expected salary range:
$85,000 - $100,000 This position will end on our around March 30, 2027 with the possibility of extension. This position is contingent on contract modification
Work Environment:
Ability to sit at a computer terminal for an extended period of time. Ability to work in confined areas.

Current, active Secret security clearance. Proven experience in an executive assistant, administrative, or similar support role; preferably supporting senior military, government, or public sector leaders. Exceptional organizational skills with demonstrated ability to manage complex schedules, competing priorities, and strict deadlines in a fast-paced environment. Superior written and verbal communication skills; professional presence and competency interacting with high-ranking officials and dignitaries. High degree of discretion, judgment, and ability to manage confidential or sensitive information. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and office management tools. Strong attention to detail and a commitment to accuracy. Outstanding communication skills, influencing abilities, and client focus. Professional proficiency in English is required. Demonstrated proficiency in using all Microsoft Office applications. Ability to access federal facilities in compliance with Real ID. Preferred Qualifications Prior experience supporting general officers, senior military leaders, or executives at the SES or equivalent level within the Department of Defense or U.S. government. Outstanding interpersonal skills to foster positive working relationships both within the command and with outside organizations. Proactive attitude with the ability to anticipate needs, adapt to changing priorities, and resolve issues independently.
