Executive Assistant (Japanese speaking) (223610-14) A well-established residential property in Honolulu is seeking an experienced Executive Assistant to support day-to-day administrative operations. This role requires a detail-oriented, organized individual with strong customer service skills, the ability to multitask, and a professional, positive demeanor. The ideal candidate is comfortable working independently, interacting with a diverse group of residents and stakeholders, and managing a wide range of administrative responsibilities in a fast-paced environment. Hours Full-time, Monday-Friday, 8:00 a.m. - 4:30 p.m. Location Honolulu, Oahu Pay $26 to $27 an hour Responsibilities Perform a broad range of administrative duties including answering phones, managing email correspondence, maintaining digital and physical files, organizing records, and ordering office supplies. Serve as a primary point of contact for residents, responding to inquiries and providing accurate information in a courteous and professional manner. Welcome new residents and assist with onboarding by providing required documentation, house rules, and an overview of building procedures and amenities. Maintain familiarity with policies, procedures, and house rules; assist with resident education as needed. Work closely with management to maintain accurate resident, owner, and tenant records. Maintain records related to resident registrations (e.g., pets, bicycles, equipment). Assist with accounts receivable and accounts payable processing. Update and maintain the property's database and records. Prepare and distribute newsletters and electronic communications to residents. Assist with vendor coordination and collection of required documentation. Coordinate mailings, distribute notices, and maintain organized administrative records. Assist with the coordination and hosting of resident events and property functions. Perform additional administrative, clerical, and support duties as assigned. Qualifications Prior administrative or executive support experience in a professional office environment. Strong customer service skills with a genuine willingness to assist others. Excellent written and verbal communication skills. Exceptional organizational and time-management abilities with strong attention to detail. Ability to multitask, prioritize, and meet deadlines. Proactive, dependable, and able to exercise sound judgment and initiative. Strong interpersonal and teamwork skills. Proficiency in Microsoft Outlook, Word, Excel, and OneDrive; experience with Publisher and SharePoint preferred. Basic computer troubleshooting skills a plus. Experience in condominium management, hospitality, hotel front desk, or concierge roles preferred. Japanese language skills (spoken and/or written) are a plus.
