As the Executive Assistant, you'll provide high-level administrative and organizational support to the Executive Director. Additionally, you'll coordinate schedules, communications, board activities, and administrative operations while supporting the efficient execution of organizational priorities and commitments.
Key Duties:
Manage the Executive Director's inbox calendar, scheduling priorities, and administrative workflow while exercising sound judgment regarding competing demands, deadlines, and matters requiring escalation. Coordinate Board of Directors meeting logistics, communication and material, including preparation of agendas and meeting minutes. Manage tasks and follow-up items by tracking priorities, monitoring timelines, and supporting completion of key organizational commitments. Serve as the primary point of contact for individuals seeking access to the Executive Director and facilitate communication with internal and external stakeholders. Assist with management of donor records, acknowledgements, and stewardship activities utilizing the CRM. Coordinate logistics for meetings or special events including scheduling, materials, catering, setup, and teardown. Maintain accurate and organized records, files, and documentation in both electronic and physical formats. Compile, format and create reports from EHR and ASAC systems using Excel or other relevant software. Identify opportunities to improve administrative processes, communication workflows, and operational efficiency. Provide backup reception coverage as needed. Maintain confidentiality and exercise discretion when handling sensitive organizational, employee, donor, board, and patient information.
Requirements:
High school diploma or equivalent (GED) and at least three years of progressively responsible administrative support experience. Demonstrated ability to manage multiple priorities while maintaining a high level of accuracy and attention to detail. Strong organizational, communication, and time-management skills are essential. Advanced proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint, and the ability to quickly learn and utilize new technology platforms are required.
