Position Details Position Information Position Title Executive Assistant Job Category Job Type Support Staff, Hourly Supervisor's Title Dean of Student Development Location Muscatine Community College (30) Job Description Performs a variety of skilled clerical and secretarial duties for the Dean of Student Development and the Student Service department. Responsible for the accomplishment of a variety of duties relating to maintaining records and files, preparing reports, general correspondence, and day-to-day operations of the college. Assists in various office procedures and office management functions.

Required Qualifications Associate's degree and Two years of secretarial experience is required Ability to communicate and relate well with faculty, administrators, students and general public is critical. Must be proficient in typing, grammar and spelling skills is important, along with organizational skills, professionalism, and competency in operation of office equipment. Preferred Qualifications Bachelors degree preferred Two years of secretarial experience in an educational institution is preferred Experience in Colleague, Microsoft Word, and Microsoft Excel is preferred Physical Demands This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Ability to lift up to 10 lbs. occasionally, open filing cabinets and bend or stand as necessary. Prolonged periods sitting at a desk and working on a computer. Salary Starting at $22.79 - $27.93 hourly Typical Duties and Responsibilities 1. Performs all secretarial duties and office organization and management for the Dean of Student Development including scheduling of appointments, meetings, and travel. 2. Keeps organized and accurate records of correspondence and written materials and records related to various student development, student organization, campus housing, and academic functions. 3. Records, reconciles and processes budget information relating to purchases and expenditures from designated codes, department credit cards, budget change orders, verify information, and keeps up-to-date balances for the Student Development Department. 4. Coordinates all new student orientations to include scheduling session dates, registering students to attend, assigning roles to campus staff, and managing student check-in. 5. Responsible for ordering supplies and keeping inventory of equipment in the Student Services department. 6. Handles incoming calls and inquiries from college staff, students, and general public, and is the Administrator for MCC phone systems within the department. 7. Assists the Dean in the production, mailing, and recordkeeping of Financial Aid appeals. 8. Responsible for the dissemination and collaboration of campus, student activities, campus housing and district-wide communication plans to involve engagement campaigns and student-wide email correspondence. 9. Provide assistance with scheduling and overseeing the Welcome Center desk and work-study staff. 10. Participates as a member of the graduation planning committee, and assists with commencement set up and the commencement ceremony. 11. Prepares agendas, attends assigned meetings and takes minutes, prepares, files and disseminates the same. 12. Supports the Deans by initiating personnel action forms and ensuring that the appropriate forms are forwarded to EICC Personnel Office, including personnel files, evaluation forms. 13. Is committed to providing quality service that meets or exceeds the expectations of internal and external customers. 14. Performs a variety of other duties related to departmental needs and as assigned.
