This role goes beyond traditional administrative work. You will help keep priorities moving, projects on track, and communication organized so the CEO can stay focused on high-impact decisions and leadership. This position supports responsibilities related to City of Trees Real Estate, Real Estate Growth Network, coaching and media initiatives, and select personal executive tasks. The right person anticipates needs, communicates clearly, and takes ownership of execution without needing constant direction. Key ResponsibilitiesExecutive Support Manage the CEO's calendar, inbox, and communications with efficiency and discretion Schedule meetings, calls, and appointments across multiple businesses Attend meetings when needed, capture notes, and track action items Maintain follow-through on priorities, deadlines, and commitments Coordinate travel planning and logistics Prepare agendas, summaries, and basic research to support decision making Handle confidential information with professionalism Project & Operational Coordination Track projects and initiatives across teams and ensure follow-through Communicate updates and keep priorities moving forward Help organize systems, workflows, and ongoing business initiatives Make outbound calls when needed to support sales opportunities or business projects Manage shifting priorities and timelines with confidence Content & Media Support (No Expert Required) Assist with scheduling and coordination for content creation, podcasts, and media initiatives Help organize content ideas, notes, and assets Coordinate logistics for recording days or content shoots Support execution and follow-through on content plans Comfort with technology and willingness to learn simple content tools is important, but expert editing skills are not required Office Operations & Vendor Coordination Oversee office organization and daily readiness Monitor and order office supplies Keep kitchen and common areas stocked and organized Coordinate with vendors including cleaners, maintenance, building management, and repair technicians Personal Executive Support Run occasional errands Schedule personal appointments and manage logistics Assist with personal administrative coordination as needed What Success Looks Like The CEO's schedule runs smoothly with minimal friction Projects move forward without constant reminders Communication stays organized and proactive Priorities are clear and execution stays on track Problems are solved early instead of becoming urgent Ideal Candidate Strong organizational and time management skills Direct, clear communicator Highly dependable and detail oriented Comfortable holding others accountable and following up Proactive and solution focused Able to manage multiple priorities at once Calm and adaptable when plans change Tech comfortable and quick to learn new systems Maintains confidentiality and professionalism Perks & Benefits Competitive salary based on experience Profit share opportunity Health benefits Paid time off Growth-focused team culture Opportunity to grow alongside a fast-moving CEO and expanding businesses Hours Mon - Fri, 8AM-4PM Ready to Apply?
