About the Role We're looking for an organized, detail-oriented Executive Assistant / Operations Coordinator to work directly with our CEO. This is more than a traditional administrative assistant position—you'll help keep the business running efficiently by managing financial administration, executive support, customer communications, and operational projects. If you're someone who enjoys creating order from chaos, taking ownership of tasks, and finding ways to make processes better, we'd love to meet you. What You'll DoExecutive Support Manage and organize the CEO's inbox. Draft emails and customer responses. Schedule meetings and coordinate calendars. Track follow-up items and ensure nothing falls through the cracks. Assist with travel arrangements and meeting preparation as needed. Financial Administration Monitor Accounts Receivable and verify customer payments. Follow up on outstanding invoices. Prepare monthly revenue and financial reports. Track subscription renewals and recurring payments. Coordinate with our book keeper when necessary. Operations & Project Coordination Manage recurring administrative tasks. Coordinate projects with internal team members and contractors. Create and improve standard operating procedures (SOPs). Research vendors, software, and business solutions. Maintain organized documentation and records. Help improve internal processes and workflows. Customer Support Answer routine customer questions. Route complex requests to the appropriate team. Ensure customers receive timely responses. Assist with customer follow-up and communication. What We're Looking For We're looking for someone who is: Highly organized and dependable. Exceptionally detail-oriented. A strong written and verbal communicator. Comfortable working independently. Proactive and able to anticipate needs. Professional and trustworthy. Curious and eager to learn new software and systems. Able to manage multiple priorities without constant supervision. Preferred Qualifications Experience with one or more of the following is a plus: Microsoft 365 ChatGPT Excel (including formulas and reporting) QuickBooks or other accounting software Google Workspace CRM systems Project management software Customer service SaaS or technology companies What Success Looks Like Within your first 90 days, you'll be: Keeping Accounts Receivable organized and up to date. Preparing monthly revenue reports with minimal supervision. Managing routine email communication independently. Tracking projects and ensuring follow-ups happen on time.
