FUNCTION
The Executive Assistant to the President and Board of Trustees provides high-level administrative, organizational, and confidential support to the President and the Board of Trustees. This position serves as the administrative liaison for the President, Board members, senior college leadership, employees, students, community partners, elected officials, and members of the public. The successful candidate will demonstrate exceptional judgment, discretion, organization, professionalism, communication skills, and the ability to manage multiple priorities in a fast-paced executive environment. Because the college plays a central role in the rural community it serves, this position requires an individual who understands the importance of relationships, responsiveness, public service, and representing the college with professionalism and warmth.
RESPONSIBILTIES
Executive Support to the President Provide comprehensive administrative support to the President, including managing calendars, appointments, correspondence, travel arrangements, meetings, and special projects. Anticipate the President's needs and proactively organize information, materials, and schedules to support effective decision-making. Prepare, proofread, and edit correspondence, reports, presentations, agendas, briefing materials, and other executive documents. Coordinate meetings and events involving the President, including preparation of agendas, meeting materials, facilities, technology, catering, and other logistical needs. Maintain confidential files and information related to personnel, institutional matters, legal issues, strategic initiatives, and other sensitive college business. Monitor and track assignments, deadlines, and follow-up items on behalf of the President. Serve as a professional and welcoming first point of contact for individuals communicating with the Office of the President. Coordinate communication between the President and internal and external stakeholders. Assist with special projects, institutional initiatives, research, and other assignments as directed by the President. Board of Trustees Support Serve as the primary administrative support for the Board of Trustees and assist the President in maintaining an effective working relationship with the Board. Attend the Board of Trustees meetings, records, proceedings, transcribe minutes, and distribute copies. Coordinate Board meeting schedules, calendars, notices, agendas, meeting materials, packets, presentations, and related logistics. Work with college administrators and staff to gather and organize materials for Board meetings. Prepare, distribute, and maintain official Board documents and records in accordance with college policies and applicable laws. Attend Board meetings and assist with meeting logistics, documentation, and follow-up activities. Plan and assist in arranging dinners for the Board of Trustees meetings. Prepare and maintain minutes and other official records as assigned. Track Board actions, requests, and follow-up items and communicate deadlines to appropriate individuals. Coordinate Board member travel, professional development, conferences, orientations, and other activities as needed. Serves as the local election official for the Board of Trustees Election. Maintain accurate and confidential records pertaining to Board members and Board activities. Support compliance with applicable open meetings, public records, records retention, and other requirements governing public community colleges. Communication and Community Relations Provide professional, courteous, and timely service to students, employees, community members, business and industry partners, government officials, and other constituents. Assist the President's Office in coordinating community events, receptions, ceremonies, recognition programs, and institutional functions. Serve as a liaison with external organizations and community partners as directed. Represent the President's Office with professionalism and discretion in interactions with internal and external stakeholders. Respond appropriately to inquiries and route questions or concerns to the appropriate college office. Maintain a strong understanding of the college's mission, programs, leadership structure, and role within the surrounding rural community. Collaborate with the Office of Marketing to draft correspondence and communications on behalf of the President to internal and external stakeholders. Office Administration Maintain an organized and efficient Office of the President, including files, records, calendars, correspondence, supplies, and administrative systems. Develop and maintain systems for tracking documents, deadlines, Board actions, executive projects, and recurring responsibilities. Coordinate purchasing, invoices, reimbursements, travel documentation, and other administrative transactions associated with the President's Office. Assist with preparation and monitoring of the President's Office budget as assigned. Maintain electronic and physical records in accordance with college policies and applicable records-retention requirements. Use appropriate technology and software to manage calendars, documents, spreadsheets, presentations, databases, virtual meetings, and communications. Perform other duties and special projects as assigned by the President. Monitor and track the progress of strategic plan goals and tactics. Coordinate proposals with strategic plan and initiatives at the College.

MINIMUM REQUIREMENTS FOR ELIGIBIILTY

An associate degree in related field from a regionally accredited institution is required. A bachelor's degree is preferred. A minimum of five years of progressively responsible administrative or executive support experience is preferred. Exercise a high degree of confidentiality and discretion. Excellent written and verbal communication skills. Strong organizational skills and exceptional attention to detail. Demonstrated ability to prioritize multiple responsibilities and meet deadlines with minimal supervision. Proficiency with Microsoft Office or comparable productivity software, including word processing, spreadsheets, presentations, email, and calendars. Ability to exercise sound judgment, discretion, diplomacy, and professionalism. Ability to establish and maintain effective working relationships with individuals from diverse backgrounds and across all levels of an organization. Experience supporting a college president, superintendent, CEO, executive, governing board, or other senior-level administrator. Experience working in higher education, government, K-12 education, or another public-sector environment preferred. Familiarity with community college governance, Board of Trustees operations, public meetings, and public records requirements is preferred. Experience preparing meeting agendas, minutes, Board packets, or other official governing-body documents. Experience working in a rural or small-community setting. Familiarity with constituent relations, community engagement, or public-facing executive offices. Communicate effectively and professionally with trustees, executives, employees, students, community members, and external partners. Anticipate needs and take initiative rather than waiting for direction. Manage frequent interruptions while maintaining accuracy and professionalism. Organize complex information and competing priorities. Work independently while understanding when issues should be elevated to the President. Remain calm, tactful, and solutions-oriented when handling sensitive or difficult situations. Draft and edit correspondence and other documents using excellent grammar, spelling, and professional judgment. Demonstrate strong interpersonal skills and a genuine commitment to public service. Adapt to changing priorities and emerging needs. Understand that, in a rural community, the college's relationships with residents, employers, schools, local governments, community organizations, and other partners are essential to its success.

Work environment for this position includes typical office environment with no extremes in temperature, noise, and limited physical risk.
