May 2026 Position Summary / Objectives Under general direction of the Executive Director/CEO or designee, the executive assistant enhances the agency's effectiveness by providing information management support and representing the executive to others. Will also be responsible for Public Relations tasks and responsibilities. This includes:
the management and maintenance of, calendars, board packets, website updates, and other duties as assigned. The position will assist with the planning or support and execution of HACC events for residents, staff, and the public. It will also develop relationships with individuals and organizations within the community and ensure a high level of transparency of the agency. The position might include exposure to contracts and grants. The work requires confidentiality, mature independent judgment, tact, discretion and the ability to coordinate special projects. Major Duties and Responsibilities Contributes to team effort by accomplishing related results as needed. Performs other reasonably related duties as assigned by the Executive Director or designee. Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics. Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications. Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel. Represents the executive by attending meetings in the executive's absence; speaking for the executive. Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries. Maintains customer confidence and protects operations by keeping information confidential. Completes projects by assigning work to clerical staff; following up on results. Prepares reports by collecting and analyzing information. Secures information by completing data base backups. Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions. Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies. Contributes to team effort by accomplishing related results as needed. Performs other reasonably related duties as assigned by the Executive Director or designee. Must be able to sit for long periods of time. Must be able to work in a deadline-focused and fast-paced environment. Must be able to pass a drug screening test administered by HACC's designated provider. Valid Illinois Driver's license and be insurable under the agency's commercial insurance policy. Education and Experience Bachelor's degree, from an accredited college or university, in Communications, Business, Public Relations, Marketing, or other related experience that is, based on the sole determination of the Housing Authority, equivalent to such a degree.
