Job Description

We are looking for an experienced Executive Assistant to support senior leadership in Chicago, Illinois through a Contract position. This opportunity is ideal for someone who thrives in a fast-paced environment, keeps complex schedules organized, and ensures travel and meeting logistics run smoothly. The role requires strong attention to detail, sound judgment, and the ability to manage competing priorities with professionalism.
Responsibilities:
  • Oversee executive calendars by coordinating appointments, resolving scheduling conflicts, and aligning priorities across multiple stakeholders.
  • Arrange domestic and international travel plans, including flights, lodging, ground transportation, and itinerary preparation.
  • Manage changes to travel schedules quickly and accurately to minimize disruption and maintain efficiency for leadership.
  • Organize executive meetings by securing meeting spaces, confirming attendees, preparing agendas, and distributing logistics in advance.
  • Serve as a central point of coordination for time-sensitive administrative activities and follow-up actions.
  • Track upcoming commitments and ensure leaders are prepared with the information and materials needed for each engagement.
