Job Description:
Executive Assistant A leading Chicago-based investment firm is seeking a highly organized and proactive Executive Assistant to support senior leadership while assisting with investor relations and marketing initiatives. This role is ideal for someone who enjoys being both a trusted administrative partner and a key contributor to client communications, marketing materials, and investor-facing initiatives. The position requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced, professional environment. Responsibilities Executive & Administrative Support Provide high-level administrative support to senior executives, including complex calendar management, meeting coordination, and prioritization of daily schedules Coordinate domestic and international travel arrangements, including flights, hotels, transportation, and detailed itineraries Prepare and submit expense reports and assist with expense tracking and budget coordination Manage correspondence and serve as a liaison between executives, internal teams, and external stakeholders Assist with the preparation and distribution of investor communications, including presentations, reports, newsletters, and marketing materials Coordinate logistics for investor meetings, conferences, and roadshows, including scheduling, materials preparation, and follow-up Support the development and formatting of marketing presentations, pitch materials, and investor updates Schedule and coordinate internal and external meetings, ensuring materials and agendas are prepared in advance Assist in organizing investor events, client meetings, and firm-hosted gatherings, including venue coordination, catering, and logistics Manage conference room scheduling and visitor coordination Maintain organized filing systems, documentation, and records while handling confidential information with discretion Partner with other administrative staff to ensure seamless office operations and coverage Assist with special projects related to investor communications, marketing initiatives, and firm events as needed Qualifications 3+ years of experience supporting senior executives in finance, investment management, professional services, or a corporate environment Experience supporting investor relations, marketing, or client-facing teams is strongly preferred, but not required Exceptional organizational and time management skills with strong attention to detail Strong written and verbal communication skills and the ability to produce polished materials Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word) and familiarity with CRM systems is a plus Ability to manage multiple priorities while maintaining professionalism and confidentiality What We're Looking For The ideal candidate is proactive, resourceful, and comfortable operating in a fast-paced investment environment.
