Responsibilities Manage the CEO's calendar with precision, scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace. Serve as the first point of contact for internal and external communications, demonstrating professional phone etiquette across multi-line phone systems. Prepare, proofread, and transcribe documents, reports, presentations, and correspondence with accuracy and clarity. Coordinate special projects and events, including planning logistics, booking venues, managing vendor relationships, and overseeing event execution. Serve as the Office Manager and handle office management duties such as filing, data entry, bookkeeping using QuickBooks, and maintaining organized records. Provide personal assistance by managing confidential information discreetly and supporting the CEO with personal errands or tasks as needed. Oversee clerical duties including filing systems, front desk responsibilities, customer service interactions, and office supply management. Qualifications Proven experience as an executive assistant, project manager or in a similar administrative role with at least two years of office management or clerical experience. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, project management software and data entry tools. Demonstrated ability to coordinate projects efficiently while managing multiple priorities under tight deadlines. Excellent organizational skills with keen attention to detail; ability to proofread documents thoroughly. Experience with bookkeeping software such as QuickBooks and familiarity with basic bookkeeping procedures. Exceptional typing speed combined with transcription skills; strong phone etiquette across multi-line systems.
