Job Description
Description We are looking for an organized and proactive Executive Assistant to support senior leadership in Illinois. This is a contract-to-hire position for a detail-oriented individual who can keep schedules running smoothly, coordinate complex travel plans, and help executive meetings stay on track. The ideal candidate is comfortable managing shifting priorities, handling logistics with accuracy, and providing dependable administrative support in a fast-paced environment.
Responsibilities:
- Manage executive calendars by scheduling appointments, resolving conflicts, and ensuring leaders are prepared for daily commitments.
- Arrange domestic and international travel, including flights, hotels, ground transportation, and itinerary details.
- Coordinate trip logistics and update plans as schedules change to maintain seamless travel experiences for executives.
- Organize executive meetings by preparing agendas, confirming attendance, securing meeting spaces, and tracking key details.
- Support senior leaders with day-to-day administrative tasks that improve efficiency and help maintain workflow continuity.
- Communicate with internal teams and external contacts to align schedules, meeting expectations, and travel requirements.
- Monitor upcoming priorities and proactively address scheduling or logistical issues before they affect business operations. Requirements
- Experience supporting in a financial advisory focused industry is a huge plus!
- Demonstrated experience providing administrative support to executives or senior leadership teams.
- Strong ability to manage complex calendars with a high level of accuracy and discretion.
- Proven experience booking and coordinating business travel arrangements from start to finish.
- Comfortable organizing executive meetings and handling related logistics in a detail-oriented manner.
- Excellent written and verbal communication skills for working with internal and external stakeholders.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency with standard office and calendar management tools used in administrative support roles.
