IN PERSON POSITION
| Northbrook, IL As an Executive Assistant at Gamma Team Security Inc., you will play a crucial role in managing the executive office and ensuring smooth operations. Current U.S. work authorization required. Candidates must live within a 20-minute drive of Northbrook.
Your responsibilities will include:
Manage schedules and coordinate meetings Track project deadlines and milestones Communication, correspondence with government agencies and executive authorities Serve as a liaison between the Company President and internal/external stakeholders Prepare and review documents, reports, applications, meeting minutes, marketing materials and proposals Maintain a high level of confidentiality and professionalism Maintain an organized filing system Follow up with employees and clients to complete professional and business profiles Control employees to comply with company regulations and resolve conflict situations Utilizing various software and technology tools to streamline processes and improve efficiency Screen and prioritize emails, phone calls, and other forms of communication Handling monthly reports and meeting minutes Create forms, standardized documents, spreadsheets, and/or databases Conduct internet research and prepare reports Renew and apply for professional and business licenses in different states Prepare contracts, proposals, Quate Applications Create documents formatted for electronic signature, ensuring efficient and secure processing Overseeing office supplies, equipment, and facilities ensures a productive work environment Assist HR department with calls, documents, and scheduling Required skills and experience Bachelor's degree as a minimum Fluent in English (oral and written) Strong written and verbal communication skills HR experience is a plus Exceptional organizational and time management skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, emails, Adobe) Easy to learn new software Phone ethics and patience Ability to multitask and prioritize tasks effectively Professional demeanor and strong problem-solving abilities Ability to work in a fast-paced environment What do we offer: Competitive salary Paid sick days + vacation Supportive team Training The stated salary is a starting rate, with opportunities for salary increases based on performance, achievements, and results.
