The Law Office of RSB Ltd, a fast-growing immigration law firm located in the Western suburbs of Chicago, is seeking a highly motivated and eager Executive & Personal Assistant to the CEO . In this dual role, you will not only manage and oversee the CEO's professional calendar and communications, but also assist with various personal tasks and errands to ensure their day runs smoothly. You will serve as a critical support to the CEO by ensuring seamless coordination of both professional responsibilities and personal commitments, acting as a reliable point of contact within the firm and a trusted aide in day-to-day activities outside the office. Responsibilities:
Efficiently manage the CEO's professional schedule, including meetings and appointments; prepare travel itineraries as needed Drive the CEO to and from meetings, appointments, and events using a company vehicle Process all incoming communications on behalf of the CEO, prioritizing and screening accordingly Run personal errands for the CEO such as picking up dry cleaning, shopping, or managing household appointments, as requested Create and maintain an organized system for both digital and physical files Prepare necessary content including agendas, presentations, and project materials Coordinate travel logistics and ensure timely updates to itineraries Maintain a high standard of confidentiality and discretion with all sensitive matters Oversee the daily operations of the CEO's virtual workspace, ensuring smooth and efficient functioning Perform other business and personal duties as assigned
Qualifications:
High School Diploma or equivalent Proven experience in office operations management Valid driver's license with clean driving record Bilingual (Spanish, English) What we look for in an ideal candidate: Exemplary multitasking and time management skills Excellent communication skills, both verbal and written Strong organizational and problem-solving abilities High level of discretion, trustworthiness, and professionalism Comfortable managing both executive and personal tasks Ability to take initiative and work independently Must be adaptable and capable of working in a fast-paced environment Team-oriented with a can-do attitude Ability to prioritize and meet deadlines consistently
Job Type:
Full-time Standard hours are Monday to Friday, 9:00 AM to 5:00 PM, with occasional evening events or tasks as needed. Flexibility is required, though extended hours will not be routine. Please include a cover letter detailing why would be be a good fit for this position.
