Full Job Description Paco's Mission:

Position Summary:
The Executive Administrative Assistant plays a vital role in supporting the multi-unit operations of Paco's Taquerias. This individual will assist the executive and management teams in coordinating communications, tracking administrative compliance across all locations, and helping ensure smooth daily operations in a fast-paced restaurant environment.
Position Responsibilities:
  • Provide administrative support to the CEO, Director of Operations, and General Managers across multiple locations
  • Track and organize documentation related to health inspections, permits, vendor contracts, and lease agreements
  • Maintain digital filing systems for employee files, vendor records, W-9s, subcontractor COIs, and payroll documents
  • Assist in onboarding processes for new employees and subcontractors, including form collection and verification
  • Schedule meetings, maintain operational calendars, and coordinate communication across locations
  • Handle vendor correspondence and service coordination (repairs, maintenance, deliveries)
  • Prepare basic financial reports, assist with invoice tracking, and support payroll documentation
  • Monitor timelines for renewals, deadlines, and operational checklists across all stores
  • Assist with internal communications, announcements, and document distribution
  • Handle sensitive information with confidentiality and professionalism
Qualifications :
  • 2+ years of administrative experience, preferably in a multi-location retail or restaurant environment
  • Strong organizational and multitasking skills
  • Proficiency in Google Workspace (Docs, Sheets, Drive)
  • Excellent written and verbal communication skills
  • Bilingual in English and Spanish preferred
  • Familiarity with payroll, vendor systems, or restaurant scheduling platforms is a plus
  • High school diploma required; Associate's or Bachelor's degree preferred
