Full Job Description Job Title:
Executive Assistant -
CEO General Summary of Duties:
Reporting directly to the President and CEO, the Executive Assistant provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the President.

In the performance of their respective tasks and duties all employees are expected to conform to the following: 1. Perform quality work within deadlines with or without direct supervision. 2. Interact professionally with other employees, customers and suppliers. 3. Work effectively as a team contributor on all assignments. 4. Work independently while understanding the necessity for communicating and coordinating work efforts with other employees and organizations. 5. Work in alignment with company culture, "The Great Philosophy".
Essential Responsibilities/Tasks:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill and/or ability required. In addition to the requirements listed below, regular attendance is an essential function of this position. 1. Executing and sending Non-Disclosure Agreements. 2. Booking travel and accommodations according to schedule. 3. Filing/keeping track of important documents such as leases, invoices, etc. 4. Handling confidential documents. 5. Answering/screening calls. 6. Managing calendars. 7. Research new projects. 8. Coordinating meeting and event arrangements. 9. Preparing reports in Microsoft Excel. 10. Analyzing data and reports. 11. Assisting in new projects. 12. Managing Dr. Challa's social media. 13. Ordering business cards and other materials. 14. Accessing/printing Soundview Executive Summaries monthly. 15. Errands as needed (picking up lunch, washing car, etc.) 16. Responsible for errands as Dr. Challa is involved in several other companies. 17. Other duties as assigned.
EDUCATION
High school graduation or GED, Bachelor's Degree preferred.
SPECIAL POSITION REQUIREMENTS
1. Must have a valid Kansas Driver's License. 2. Must have a reliable vehicle for errands.
Performance Requirements:
Knowledge:
1. Knowledge of clinic policies and procedures. 2. Knowledge of grammar, spelling, and punctuation to communicate effectively. 3. Knowledge of computer and internet research skills. 4. Knowledge of EMR system.
Skills:
1. Skill in using office equipment and handling paperwork/filing adequately. 2. Skill in handling incoming phone calls. 3. Skill in written and verbal communication
Abilities:
1. Ability to work effectively as a team member with physicians and other staff. 2. Ability to interpret and understand insurance benefits and reimbursement. 3. Ability to flexibly respond to changing demands. 4. Ability to organize and prioritize tasks effectively. 4. Ability to communicate clearly. 5. Ability to work with little supervision. 6. Ability to establish and maintain effective working relationships with patients, employees, and the public. 7. Ability to reason and define problems, analyze root causes, collect data, establish facts and draw valid conclusions to assist patients and staff for excellent customer service.
Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.
Work Environment:
Position is in a well-lighted office environment. Activities including sitting, standing, walking, reaching, bending and lifting.
Mental/Physical Requirements:
While performing the duties of this job, the employee is regularly required to talk, hear and sit for long periods of time. 1. Required to stand, walk, sit, bend, stoop and use hands and fingers to grasp and feel. 2. Required to lift up to 25 lbs. occasionally, 10 lbs. frequently. 3. Vision requirements include peripheral vision, depth perception and the ability to focus with frequent computer usage.
