This is not a traditional receptionist role, and we are not looking for someone who simply waits for tasks to be assigned. We are looking for a highly organized, proactive, dependable person who enjoys bringing order to a busy environment, anticipating what comes next, and helping professionals stay focused on their highest-value work. The right person will become a critical part of how our firm operates. What You'll Do You will work closely with the firm's Managing Partner and attorneys to help keep the firm organized, responsive, and moving forward.
Responsibilities will include:
Managing calendars, meetings, reminders, and scheduling Helping the Managing Partner organize priorities and follow through on commitments Monitoring deadlines, open tasks, and administrative follow-up Coordinating client meetings and internal meetings Helping manage incoming communications and ensuring important matters do not fall through the cracks Assisting with client intake and onboarding Preparing engagement materials, correspondence, and routine documents Maintaining organized electronic files and matter records Supporting billing, collections follow-up, and other administrative processes Coordinating vendors, office needs, and outside service providers Helping maintain and improve internal systems, checklists, and procedures Assisting with recruiting, onboarding, and team administration as the firm grows Supporting marketing, events, speaking engagements, and other firm initiatives Handling confidential business and client information with exceptional discretion Identifying problems before they become problems and helping develop practical solutions As the firm grows, this role is expected to grow with it. Experience Prior experience as an Executive Assistant, Legal Assistant, Office Manager, Administrative Assistant, Project Coordinator, or similar role is preferred. Law firm experience is helpful but not required . We are willing to teach the legal side of the job to an exceptional administrative professional. We would rather hire someone with excellent judgment, organization, and initiative than someone with legal experience who needs constant direction. Experience with Microsoft 365, Outlook, Word, Excel, task-management software, document-management systems, or professional-service businesses is a plus. Comfort with technology and learning new software is important. What Success Looks Like After you become established in the role: The Managing Partner spends less time managing calendars, administrative issues, and loose ends. Attorneys know that important administrative tasks will be handled without repeated reminders. Client communications and follow-up happen promptly. Meetings are organized and prepared for. Deadlines and open items are tracked. The office operates smoothly. Administrative systems become more organized each month. You know what needs to happen next without always having to be told. Schedule This position will begin at approximately 30 hours per week , with the expectation that it can grow to a full-time 40-hour-per-week position within approximately 3-6 months as the role develops. This is an in-person position in Wichita, Kansas . Some flexibility in scheduling may be available for the right candidate, but consistent daytime availability is important. Compensation Compensation will be competitive and based on experience, judgment, and demonstrated ability. We are willing to pay more for someone who can truly operate at an executive-assistant level rather than simply perform basic administrative tasks.
