Job Description

We're looking for an Executive Assistant - Dairy Nutrition & Sales who thrives in a fast-paced environment and takes ownership of getting things done. This role is a critical partner to Sales Leadership, responsible for keeping schedules, communications, projects, and data moving forward with urgency and precision. If you're highly organized, detail-driven, and naturally proactive, this is an opportunity to play a key role in supporting both day-to-day execution and broader business initiatives.
KEY RESPONSIBILITIES
Executive & Administrative Support Provide comprehensive administrative support to Sales Leadership, including calendar management, email coordination, travel planning, and meeting logistics Prepare reports, presentations, and correspondence with a high level of accuracy and professionalism Coordination & Project Management Coordinate activities across dairy nutrition programs, client accounts, and sales initiatives Track project timelines, deliverables, and follow-ups to ensure timely execution Maintain visibility into multiple priorities and proactively keep stakeholders aligned Drive accountability by ensuring tasks are completed and deadlines are met Sales & Client Support Support sales activities through scheduling, documentation, and follow-up coordination Assist in maintaining client records, communications, and account-related materials Partner with sales and nutrition teams to ensure seamless execution of customer-facing initiatives Data & Operational Management Maintain and manage data across spreadsheets and systems to support sales activities, client accounts, and nutrition programs Build, update, and track reporting tools to ensure accuracy, visibility, and timely decision-making Identify opportunities to improve processes and increase efficiency Maintain organized systems for documentation, tracking, and communication Handle sensitive and confidential information with discretion
KNOWLEDGE and SKILLS:
Qualifications Proven experience in an executive assistant, administrative, or coordination role Strong organizational skills with exceptional attention to detail Demonstrated ability to manage multiple priorities in a fast-paced environment High sense of urgency with a proactive, solutions-oriented mindset Excellent written and verbal communication skills Strong proficiency in Microsoft Office, particularly Excel, and other business systems Ability to work independently while supporting a collaborative team environment Key Attributes for

EXPECTATIONS
This role reports to a regional office and supports leadership and teams across multiple locations. The position requires strong coordination, responsiveness, and the ability to manage competing priorities effectively. Light and infrequent travel required for meetings, events, and team coordination.
