This role offers an exciting opportunity to work closely with top executives, manage complex schedules, coordinate projects, and handle a variety of administrative tasks with professionalism and enthusiasm. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, thriving in a fast-paced environment that values efficiency and confidentiality. Duties Manage and coordinate executive calendars, including scheduling meetings, appointments, and business travel arrangements to optimize time management. Provide comprehensive administrative support such as drafting correspondence, proofreading documents, transcribing meetings, and handling internal communication channels. Organize and plan events, conferences, and meetings from inception to completion, ensuring all logistics are seamlessly executed. Facilitate office management duties including filing, data entry, and overseeing front desk operations. Coordinate and execute routine personal errands, including dry cleaning drop-offs, package deliveries, and local service appointments. Streamline office operations by managing inventory and procurement of all office supplies and materials. Ensure main office spaces, meeting rooms, and kitchenettes are orderly and well-maintained throughout the day. Maintain confidentiality when handling sensitive information and ensure professional phone etiquette at all times. Other duties as assigned. Skills Proven experience as an executive or personal assistant with strong office management capabilities (3-5 years experience preferred). Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment. Proficiency in productivity software such as Microsoft Office and Google Suite, as well as video conferencing software. Strong typing skills for efficient data entry, transcription, and document preparation. Exceptional communication skills for internal collaboration with C-suite executives and external contacts. Ability to handle multiple responsibilities simultaneously while maintaining attention to detail. Technical proficiency in managing digital tools such as DocuSign for document signing processes.
