Job Description
Executive Personal Assistant to the President Greater Louisville, Kentucky | Full-Time | On-Site Hidden Talent is conducting a confidential search for an established, family-founded commercial consulting, design, and construction management firm. We are seeking a highly dependable and resourceful Executive Personal Assistant to support the company's President. This is a high-trust position for someone who enjoys creating order, anticipating needs, solving problems, and ensuring important details do not fall through the cracks. The right person will become the President's central point of coordination across calendar management, communication, travel, meetings, events, customer hospitality, and a limited number of personal tasks. Key Responsibilities Manage the President's calendar, appointments, meetings, reminders, and outstanding action items. Identify scheduling conflicts, track follow-ups, and keep priorities moving forward. Draft, proofread, and organize emails, proposals, meeting materials, and other professional communication. Coordinate travel and create complete itineraries for the President and field representatives. Plan company meetings, client events, golf outings, customer entertainment, and other special events. Assist with charitable giving and sponsorship requests by gathering information and coordinating follow-up. Maintain organized digital files, records, subscriptions, and tracking documents. Provide limited personal assistance, such as coordinating appointments, gifts, travel, or occasional local errands. Safely operate company or executive vehicles when needed. What We're Looking For Exceptional reliability, follow-through, and attention to detail Strong organizational and time-management skills Confident, polished written and verbal communication Proficiency in Microsoft Outlook and Word, with working knowledge of Excel Experience coordinating travel, meetings, events, or multi-step logistics A proactive, service-oriented approach and the ability to work independently Sound judgment, discretion, and respect for confidentiality Comfort learning new technology, digital tools, and systems A valid driver's license, reliable transportation, and an acceptable driving record Availability to work on-site Monday through Friday, with occasional assistance outside regular hours for time-sensitive needs Prior experience supporting an executive or business owner is preferred but not required. Relevant experience in professional services, construction, consulting, event coordination, hospitality, or another fast-moving environment may also be a strong fit. Schedule and Benefits The standard schedule is Monday through Friday, 8:30 a.m. to 5:00 p.m. Benefits include employer-paid employee medical, dental, and vision coverage, employer-paid life insurance, a 401(k) plan, and paid time off.
