Katie McDaniel Enterprises

Executive Assistant

Job Description

Real Estate Operations & Marketing Assistant Full-Time or Part-Time | Hybrid | Louisville, KY Help keep the details moving, the marketing consistent, and our clients cared for. At the Katie McDaniel Team with Keller Williams Collective, we help people move through life's changes with clarity and confidence. Sometimes that means more space, sometimes less, and sometimes a completely new beginning. We want every client to feel seen, heard, and supported. We're looking for someone who enjoys making that experience happen through thoughtful communication, organized systems, and consistent follow-through. About the Role You'll work closely with Katie to carry out marketing, coordinate listing details, support clients, and keep daily operations moving. Katie brings the relationships, ideas, and direction. You'll help turn those ideas into finished work, keep track of the next steps, and make sure important details get handled. Marketing will be a substantial part of your work from the start. That includes creating materials, scheduling content, preparing emails, and making sure our listings and business stay visible. You don't need to arrive as a marketing strategist, but you should enjoy the work and bring some practical experience with content, design, or marketing tools. You should also enjoy bringing order to a busy day. You're comfortable asking questions, learning a process, following a checklist, and suggesting a better way once you understand how things work. What You'll Help Manage Marketing & Content Create and schedule Facebook and Instagram content. Build listing graphics, flyers, postcards, and other materials in Canva. Draft newsletters, email campaigns, and database outreach in Katie's voice. Keep the marketing calendar organized and move projects from idea to completion. Coordinate YouTube scripts, recording needs, files, and communication with our editing vendor. Track Google Local Services Ads activity and flag questions or changes for review. Keep website and business information updated. Use AI tools to help draft, research, and organize work, checking accuracy and making sure the finished result sounds like us. Katie provides direction and reviews content as you learn our voice and standards. We'll build independence as you become comfortable with the work. Listing Coordination Keep listing preparation and launch checklists on track. Schedule photography and help make sure homes are ready for photos. Organize listing photos and coordinate approved photo edits and virtual staging. Draft listing descriptions and prepare listing information for Katie's review. Prepare and distribute listing marketing materials. Coordinate signs, lockboxes, HOA documents, and other listing needs. Collect showing feedback and flag anything that needs Katie's attention. Gather weekly listing activity and market data. Prepare seller updates using that information and Katie's recommendations. Coordinate open house materials, scheduling, and follow-up. Daily Operations & Client Care Keep Follow Up Boss contacts, tasks, records, and follow-up plans organized. Help manage scheduling, calendar details, and inbox priorities. Track outstanding items and follow up before deadlines are missed. Coordinate client gifts, house-aversaries, review requests, and other thoughtful touches. Help plan client events and manage invitations, RSVPs, and event details. Document recurring tasks so they become easier to repeat and delegate. Communicate progress, questions, and problems proactively. Transaction Support Work with Katie and our transaction support to keep information and documents moving. Help coordinate appointments, reminders, and client communications. Track assigned deadlines and follow up on missing items. Support closing preparation and post-closing follow-up. The amount of transaction coordination you take on will depend on your experience, training, and how responsibilities are divided within the team. What Makes Someone a Good Fit You enjoy organizing details and finishing what you start. You're comfortable creating marketing materials and working with technology. You write clearly and can adapt your communication to different people. You check your work, especially names, dates, numbers, and deadlines. You ask questions when something is unclear and use what you learn the next time. You can work independently once expectations and priorities are clear. You notice what needs attention and communicate before it becomes urgent. You're warm with clients and careful with their private information. You're open to feedback and willing to adjust. You can shift priorities while keeping track of unfinished work. Experience with Canva, CRM systems, social media scheduling, and AI tools is helpful. Real estate experience is welcome, but it is not required. What Success Looks Like As you learn the role: Marketing goes out consistently and on time. Listings are prepared and launched with fewer last-minute scrambles. Client communications and follow-up happen when they should. Tasks are updated, details are accurate, and Katie knows where things stand. Repeatable work has clear instructions. Katie has more time for clients, relationships, and bringing business in. You won't be expected to master everything on day one. We'll establish priorities, provide training, and build responsibility as you learn. What You Can Expect Full-time or part-time hours, with the schedule and responsibilities agreed upon based on your availability and the needs of the business. Hybrid work based in Louisville, with in-person time for collaboration, listing needs, and events. Occasional evening or weekend availability for scheduled events and listing needs, discussed in advance whenever possible. Clear priorities, regular check-ins, and feedback. Work that makes a visible difference to clients and the business. A leader who cares about your experience, ideas, and development. A 90-day mutual evaluation to assess fit, progress, and support needs. There is room for this position to grow as the business grows. That could mean greater ownership within this role or different responsibilities based on your strengths and interests. This is a support position for someone who enjoys marketing and operations. It is not designed as a route into real estate sales.
