Job Summary:
The Executive Assistant's primary goal is to support our Firm by providing outstanding support to the Owner. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Essential Duties and Responsibilities:
1. Triage, review and file all incoming/outgoing correspondence including email, voicemail, and physical documents 2. Manage Owner's calendar and ensure time is blocked for personal milestones, events & activities; team meetings; marketing activities, financial control reviews, client work, billing, and strategic planning 3. Remind Owner of important tasks and deadlines; assure Owner have the documents and resources needed for upcoming meetings 4. Coordinate travel and accommodations, appointments, conference calls, and meetings; register Owner for CLE, workshops, and other events 5. Facilitate and ensure communications with clients, staff, referral sources and other parties as instructed by Owner 6. Maintain organization of electronic and physical files; Keep Owner's office neat and organized 7. Assist the Owner with projects and run errands as requested 8. Communicate with clients, employees, attorneys, vendors, and others as directed by Owner. 9. Shadow the Owner on all client meetings and take detailed notes, transcribe detailed notes and enter them in the case mgt. software, make edits as needed and update. 10. Other tasks as assigned
