Job Description

The Executive Assistant to the Deputy Chief provides high-level administrative and clerical support to ensure efficient operations within the Deputy Chief's Office. This position handles sensitive information, manages scheduling, prepares reports, and serves as a liaison between the Deputy Chief and internal/external contacts. The role requires professionalism, discretion, and the ability to work independently on a variety of administrative tasks. Manage daily administrative operations for the Deputy Chief, including correspondence, scheduling, and meeting coordination. Draft, proofread, and prepare letters, memoranda, forms, and reports from dictation, rough drafts, or other sources. Review and summarize reports, prepare breakdowns of information, and ensure accuracy, completeness, and compliance with established requirements. Schedule Pre-Disciplinary Hearings, prepare related documentation, and submit finalized paperwork for signature. Maintain accurate attendance records for designated staff. Process supply orders, submit purchase requests in LOGOS, and track related expenditures. Coordinate and assist with department events such as the Annual Employee Banquet, Promotion Ceremonies, and Memorial Ceremony. Serve as relief secretary for the Executive Assistant to the Chief of Police when required. Receive, log, and maintain files from Internal Affairs, Human Resources, Assistant Chiefs, City Legal, and other departments. Perform research and request reports from RMS as directed. Perform additional duties as assigned by the Deputy Chief. Must be at least 21 years of age. High school diploma, G.E.D., or higher education degree (associate's or bachelor's) from an accredited institution. Certifications of completion will not be accepted as substitutes. Combination of training and experience demonstrating the ability to perform the listed duties.
WORK ENVIRONMENT
Office-based role requiring the use of standard office software, report creation tools, and mobile app technologies.
PHYSICAL DEMANDS
: Primarily sedentary work involving extended periods at a desk and computer.
