Boston, MA (100% Onsite) Schedule:
Monday-Friday, approximately 7:30 AM start time (occasional earlier start times required) Compensation:
$90,000•125,000 annually, depending on experience About the Opportunity A leading organization is seeking a polished, highly organized Executive Assistant to support a strategic Operational Excellence leadership team. This newly created position offers the opportunity to work closely with senior leadership in a fast-paced, collaborative environment focused on driving efficiency, innovation, and operational excellence across the business. Key Responsibilities Executive & Administrative Support Provide day-to-day administrative support to senior leadership and department executives Manage complex calendars, scheduling, and meeting coordination across multiple stakeholders and time zones Coordinate domestic and international travel arrangements, itineraries, and expense reporting Prepare, format, proofread, and distribute presentations, reports, meeting materials, and executive communications Maintain organized documentation, files, distribution lists, and departmental records Handle confidential and sensitive information with discretion and professionalism Meeting & Event Coordination Schedule and coordinate leadership meetings, team events, off-sites, workshops, and departmental summits Prepare agendas, meeting materials, and follow-up communications Capture meeting notes, track action items, and ensure timely distribution of key information Coordinate meeting logistics including room reservations, catering, materials preparation, and onsite support Partner with internal teams to ensure seamless execution of events and meetings Operational & Departmental Support Assist with recurring reports, departmental updates, and operational communications Support the maintenance of department trackers, templates, presentations, and reporting tools Help ensure consistency, accuracy, and professionalism across all departmental materials Provide coordination support for special projects and departmental initiatives as needed Qualifications 3+ years of experience supporting executives, senior leaders, or operations teams within a large corporate environment Bachelor's degree strongly preferred Exceptional organizational skills and attention to detail Strong written, verbal, and interpersonal communication skills Ability to manage multiple priorities in a fast-paced environment Advanced proficiency in Microsoft Office Suite, particularly Outlook, PowerPoint, and Excel Proven ability to anticipate needs, solve problems, and work independently Professional demeanor with strong judgment and discretion Adaptable, proactive, and comfortable managing shifting priorities Ideal Candidate Profile Highly polished, professional, and dependable Friendly, outgoing, and confident interacting with senior leadership Strong forward thinker who anticipates needs before they arise Thrives in a fast-paced, high-performance environment Interested in long-term growth and development Demonstrates stability and commitment in previous roles Passionate about contributing to a collaborative and team-oriented culture Growth Opportunity This role offers direct exposure to senior leadership and strategic business initiatives.
