About the Opportunity Our client, a public transportation organization , is seeking a highly organized and detail-oriented Temporary Executive Assistant to the Chief Administrative Officer (CAO) . This role provides high-level executive administrative support and operational support to the CAO while helping coordinate priorities across a large, complex organization. Qualifications & Skills Bachelor's degree preferred; equivalent professional experience may be considered 5+ years of executive administrative or operational support experience Experience supporting a C-suite executive, senior government official, public-sector leader, or department head is highly desirable Strong organizational and time-management skills , with the ability to manage multiple priorities and deadlines Excellent written and verbal communication skills Exceptional attention to detail and follow-through Demonstrated ability to exercise sound judgment and maintain confidentiality Strong interpersonal skills and the ability to collaborate effectively with individuals at all levels of an organization Proficiency with Microsoft Office , including Outlook, Word, Excel, and PowerPoint Ability to work independently, anticipate needs, solve problems, and take initiative Professional communication style and ability to represent the CAO's office appropriately Key Job Functions Provide comprehensive executive administrative support to the Chief Administrative Officer Manage the CAO's calendar , including executive meetings, appointments, and internal and external engagements Coordinate executive meetings , conference calls, presentations, and other leadership activities Prepare agendas, presentations, correspondence, reports, meeting materials , and other executive documents Track deadlines, follow-up items, and action items resulting from meetings Coordinate projects and initiatives involving multiple departments and stakeholders Serve as a professional point of contact for the CAO's office, communicating with executives, employees, external partners, and stakeholders Handle sensitive and confidential information with professionalism and discretion Review, organize, and prioritize incoming correspondence, requests, and communications Coordinate travel arrangements, expense reports , and other administrative functions Maintain accurate and organized electronic and physical files and records Prepare the CAO for meetings by gathering relevant information, reports, and materials in advance Follow up with departments and stakeholders to ensure assignments and requests are completed on schedule Support special projects and other administrative initiatives as assigned Apply Today If you're an experienced Executive Assistant who excels at supporting senior leadership, managing complex priorities, and keeping an organization moving forward, we'd love to hear from you.
