Executive Assistant Description:
Joanne Langione Dance Center is a well-establishedmunity dance school with a long-standing reputation for excellence in dance education and the performing arts - now concluding its 50th anniversary year. We are seeking a highlyanized, proactive, and experienced Executive Assistant to support the two Directors in managing daily operations,munications, and long-term initiatives of our busy school. This is a key leadership support role for someone who thrives in a fast-paced, creative environment and enjoys balancing executive-level administrative responsibilities with project management and operational support. Dance experience is not required, though an appreciation for the performing arts and school environments is a big plus. Position Overview The Executive Assistant will serve as the primary administrative partner to the Directors, helping to ensure all aspects of smooth and efficient operations. This role requires exceptionalanizational skills, discretion, professionalism, customer service and the ability to anticipate needs, solve problems, and manage projects from concept throughpletion. This person must believe in cultivating strong relationships with all staff members and teachers; they will be a central point of contact for the entire team. The ideal candidate is detail-oriented, resourceful, highly dependable, andfortable managing multiple priorities simultaneously while maintaining a positive and professional presence with families, faculty, and students. Key Responsibilities Provide high-level executive support to the Directors, including scheduling, bill pay, event planning, systemsanization Anticipate the needs of the Directors and take initiative without requiring constant direction Manage and prioritize iingmunications, including emails, phone calls, and inquiries Coordinate and distribute all schoolmunications Assist with operational planning and execution of all performances, special events, building and studio maintenance projects, etc. Manage projects from start to finish, ensuring that timelines, goals, and deliverables are met efficiently and accurately Create and maintainanizational systems, workflows, and administrative procedures to improve efficiency and ease workloads Support recital ticket sales, performance production, and annual registration coordination Prepare reports, presentations, spreadsheets, and documents for meetings and special projects as needed Assist with data management, record keeping, and databaseanization Troubleshoot operational and administrative issues and proactively implement solutions Maintain confidentiality and professionalism in handling sensitive information Serve as a professional and weing point of contact for families and staff Maintain office inventory and supplies and coordinate with vendors as needed. Schedule Full-time position, Monday through Friday Evenings and weekends required for during opening of school and performance seasons and special events Compensation Salarymensurate with experience 401(K)
Eligible Qualifications:
Preferred minimum of 5+ years of experience in executive assistance, office administration, operations, project management, or a related professional role that is client facing Proven experience supporting executives and/or senior leadership in a fast-paced environment Demonstrated ability to independently manage projects from inception throughpletion; be a natural problem-solver Exceptionalanizational and multitasking abilities with strong attention to detail A finely-tuned ability to think proactively and strategically, and to know when extra help is needed or not Strong written and verbalmunication skills with a professional and polished demeanor Ability to prioritizepeting responsibilities and adapt quickly in a dynamic environment Strong interpersonal skills and ability to work collaboratively with a wide range of personalities High level of discretion, professionalism, and reliability Technical proficiency required in Microsoft Office Suite, Airtable, Canva, Wordpress
