Description We are looking for an accomplished Executive Assistant to support senior leadership in Woburn, Massachusetts. This Long-term Contract position is ideal for a highly organized individual who communicates with confidence, manages sensitive information with discretion, and performs well in a busy corporate setting. The role works closely with executive leadership and the accounting team, helping maintain daily operations, coordinate priorities, and keep important administrative activities on track.
Responsibilities:
Provide comprehensive administrative support to senior executives, ensuring schedules, communications, and priority items are managed efficiently.
Compile, organize, and distribute reports and presentation materials while keeping departmental calendars and timelines up to date.
Assist the accounting team with year-end activities and other administrative tasks that support financial operations.
Review contracts, banking documents, proposals, partnership materials, and spreadsheets to help route information accurately and support executive decisions.
Coordinate appointments, arrange travel plans, prepare outgoing correspondence, process incoming mail, and welcome visitors in a courteous manner.
Handle multiple requests at once while maintaining strong attention to detail, sound judgment, and a high level of confidentiality.
Work across departments to follow up on action items and help leadership initiatives move forward without delays. Requirements
Previous experience in an Executive Assistant or advanced administrative support position.
Strong written and verbal communication skills with the ability to interact effectively across all levels of an organization.
Proficiency in Microsoft Word and Excel; familiarity with database tools such as Access is advantageous.
Ability to coordinate calendars, executive meetings, and travel arrangements with accuracy and efficiency.
Solid numerical aptitude and comfort working with reports, spreadsheets, and financial-related documents.
Proven ability to manage competing deadlines, stay organized, and work independently in a fast-paced environment.
Detail-oriented demeanor, positive attitude, and sound judgment when handling confidential information.
