Job Summary:
MedStar Health is seeking a highly organized, proactive, and polished Executive Assistant to provide dedicated administrative support to a Vice President of Philanthropy. This is a high-visibility role ensuring seamless day-to-day operations, proactive calendar management, and coordination of key initiatives that support philanthropy and grant development across MedStar Health. The ideal candidate is detail-oriented, exercises sound judgment and thrives in a fast-paced executive environment where discretion and professionalism are essential. Key Responsibilities Manage complex executive calendars, meetings, and travel logistics; coordinate conference calls and web-based meetings. Screen and prioritize communications; serve as liaison with Finance, Payroll, HR, Purchasing, and other internal partners. Prepare correspondence, reports, presentations, and meeting materials with a high level of accuracy and professionalism. Coordinate executive and departmental meetings, including scheduling, agenda preparation, minutes, catering, and AV setup. Maintain confidential files, records, and documentation with discretion and integrity. Track invoices, process expense reports, and assist with department budgeting and purchasing activities. Support special projects, grant development initiatives, and cross-functional philanthropic efforts. Anticipate needs, identify issues, and exercise independent judgment to ensure smooth executive operations. Minimum Qualifications Associate's degree required (or equivalent combination of formal secretarial training and experience). Progressively responsible administrative experience supporting senior leadership. Exceptional written and verbal communication skills. Advanced organizational, prioritization, and time-management skills. Proficiency in Microsoft Office Suite and standard office technology. Ability to manage confidential information with professionalism and discretion. This position has a hiring range of : USD $65,062.00
