Job Description

St. John Regional Catholic School, located in Frederick, MD is seeking an Executive Assistant . This position provides comprehensive administrative support to the Principal and plays a vital role in ensuring the smooth, efficient, and mission-driven operation of the school. This position supports the Principal, administrative team, faculty, staff, families, and visitors while upholding the values and expectations of a Catholic PK-8 school. The Executive Assistant must demonstrate professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. Essential Functions Uphold all Archdiocese of Baltimore (AOB) and school policies while maintaining strict confidentiality. Exercise sound judgment in all matters involving students, families, staff, and school operations. Demonstrate professionalism in communication and demeanor when serving families, visitors, faculty, and staff. Support and model the mission and values of the Catholic Church; participate in liturgies and religious activities. Manage calendars, scheduling, substitute coordination, and meeting logistics. Support database management and maintain accurate administrative records. Prepare agendas, minutes, administrative binders, and handbooks. Draft and manage communications, including the weekly Faculty Newsletter. Draft and respond to phone calls, emails, letters, and official correspondence. Maintain organized filing systems, updated staff lists, and documentation. Support purchasing, credit card documentation, and timesheets. Manage onboarding, personnel files, reference checks, and staff documentation. Uphold confidentiality and support the Catholic mission of the school. Assist with school-wide events, professional development days, and administrative projects. Use strong judgment, problem-solving skills, and prioritization to support the school community. Position Qualifications Some college coursework preferred; associate or bachelor's degree is a plus. 2-5 years of administrative support experience (school experience preferred). Proficiency in Microsoft Office and Google Workspace. Strong written and verbal communication skills. Excellent customer service skills, organization, and attention to detail. Ability to multitask, prioritize responsibilities, and adapt to changing needs. Strong problem-solving skills and ability to handle ambiguity. Punctuality and reliability required. Ability to pass background checks and complete VIRTUS/Shield the Vulnerable training.
