Executive Assistant to the Superintendent

JOB SUMMARY
This position coordinates the preparation of school board agendas, minutes, and schedules. Provides administrative assistance to the Superintendent regarding confidential items, correspondence, items due, employee concerns, and other issues.
MINIMUM QUALIFICATIONS
Associate's degree in education, communications, business administration, or related field Three (3) years of successful experience organizing and completing tasks for a position at the CEO level of an organization. Effective interpersonal and written communication skills. A high degree of judgment, discretion, and confidentiality. Ability to successfully communicate at all levels of the organization Demonstrated experience working collaboratively with senior-level decision-makers Strong attention to detail and accuracy, excellent organizational skills with the ability to prioritize, coordinate, and simultaneously maintain multiple projects with a high level of quality and productivity Ability to think strategically and execute tactically and tactfully Proficient computer skills in all Microsoft Office suites and Google Suites as well as multiple platforms relevant to education, i.e. PowerSchool Must be able to be bonded in the State of Michigan Must possess a valid Driver's License Proven ability to meet the challenges of an urban school district

JOB FUNCTIONS AND RESPONSIBILITIES
Independently plans and coordinates executive support functions for the Superintendent. Complies data from various diversified sources (e.g. staff members, Board Members, Community Organizations, Government Agencies. Maintains a wide variety of complex manual and electronic documents, files, and records (e.g. contacts, timesheets, legislative information, databases, etc.); provides up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements. Prepares a wide variety of complex written materials (e.g. correspondence, agendas, minutes, event programs, bulletins, reports, etc.) Processes a wide variety of complex documents and materials (e.g. work orders, requisitions, travel reimbursements, budget transfers, etc.) Researches a variety of topics (e.g. current practices, policies, education codes, board agenda items, parental complaints, legal updates, etc.) Responds to a wide variety of calls, concerns, and /or complaints to resolve problems, providing information and/or referring to the appropriate personnel and/or department. Schedules a wide variety of activities (e.g. appointments, meetings, travel reservations/accommodations, facility usage, etc.) Maintains absolute confidentiality of work-related issues, client records, and District information. Serves as the School Board Recording Secretary and assists them in completing secretarial and clerical activities. (i.e. taking minutes, recording votes, compiling electronic documents for Board meetings) Serves as recording secretary at Board meetings; summarizes actions taken at Board meetings; takes and transcribes minutes of meetings for permanent records, ensuring minutes accurately reflect Board action and direction and comply with State Board of Education and School Board regulations. Supports the relationship between the Benton Harbor Area Schools and the general public by demonstrating courteous and cooperative behavior when interacting with clients, visitors, and District staff. Performs other related duties as assigned by the Superintendent or designee, to ensure the efficient and effective functioning of the Superintendent's office.

TERMS OF EMPLOYMENT
This is a year-round position. Salary $48,000K - $55,000 Salary based on education and experience pursuant to the Benton Harbor Area School Board policies and collective bargaining agreement for any position that falls under collective bargaining.

The performance of this job will be evaluated by the Superintendent.
