  • Full-time We are looking for a responsible Personal Assistant to provide a high level of administrative and organizational support to the CEO.
Key responsibilities include calendar management, travel coordination, drafting correspondence, preparing reports and presentations, and maintaining efficient filing systems. The role requires strong organizational, communication, and problem-solving skills, along with a high degree of professionalism and discretion.
Key Responsibilities Calendar & Schedule Management:
Manage the CEO's entire schedule, including appointments, meetings, and events, while proactively resolving conflicts.
Communication Management:
Screen and prioritize emails and phone calls, act as a point of contact for internal and external stakeholders, and draft professional correspondence on behalf of the CEO.
Travel Coordination:
Plan and arrange complex business travel, including flights, accommodations, and ground transportation.
Document & Information Management:
Create and maintain efficient filing systems, manage documents, and ensure all information is handled with the utmost confidentiality and professionalism.
Meeting & Event Support:
Coordinate meetings, prepare agendas and materials, and arrange logistics for internal and external events, such as board meetings and conferences.
Reporting & Presentations:
Assist in preparing reports, presentations, and briefs to support the CEO's decision-making process.
Gatekeeper Role:
Act as the first point of contact, filtering and handling inquiries to protect the CEO's time and focus.
Essential Skills & Qualities Exceptional Organization:
The ability to manage multiple priorities and complex schedules efficiently.
Confidentiality & Discretion:
A proven track record of handling sensitive information with the highest level of professionalism.
Proactive Problem-Solving:
The capacity to anticipate needs and resolve challenges independently to prevent them from escalating to the CEO.
Strong Communication:
Excellent verbal and written communication skills to interact confidently with stakeholders at all levels.
Technical Proficiency:
Familiarity with various software for document creation, data entry, and office management.
Interpersonal Skills:
The ability to build and maintain relationships with employees, clients, and other partners on behalf of the CEO.
