The Executive Assistant serves as a primary point of contact for residents, staff, elected officials, and external partners and is responsible for managing communications, scheduling, correspondence, and follow-up on assignments from meetings with department directors. The position requires strong customer service skills, discretion, diplomacy, and the ability to manage multiple priorities. The Executive Assistant also assists the Mayor in maintaining organization and accountability by tracking action items and ensuring timely follow-up on assignments discussed during department head meetings.
Essential Duties and Job Functions:
Executive Administrative Support Answer and manage incoming phone calls and inquiries Provide high-quality customer service when responding to residents' questions, concerns, and complaints Manage and maintain the Mayor's calendar, appointments, and meeting schedule Coordinate meetings, including scheduling, confirming attendees, and preparing materials as requested Draft letters, correspondence, memoranda, and other communications on behalf of the Mayor Screen calls, visitors, and requests and route appropriately Maintain confidential and administrative files and records systems Prepare documents, reports, and materials using word processing and spreadsheet software Assist with preparation of meeting materials for internal and external meetings Maintain organized electronic and paper filing systems Provide general administrative support to the Mayor's Office Coordination and Follow-Up Support Attend meetings as requested to capture action items and assignments Maintain a tracking log of assignments provided to department heads Follow up with departments regarding status of assignments or requests Provide periodic updates to the Mayor regarding outstanding items Assist with organization of priorities and commitments Track deadlines and ensure timely follow-up on assigned tasks Assist with coordination of special projects as assigned Communication and Customer Service Serve as liaison between the Mayor's Office and residents, department leaders, and community stakeholders Respond to inquiries in a professional and courteous manner Communicate effectively with City departments regarding requests from the Mayor's Office Maintain professionalism when handling sensitive or challenging situations Support coordination of meetings, events, or community engagements as requestedQualifications Required Knowledge, Skills, Abilities and Minimum Qualifications:
Education and Experience- Associate's degree required; Bachelor's degree preferred in Business Administration, Public Administration, Communications, or related field
- Three (3) to five (5) years of administrative support experience required
- Experience supporting executive leadership preferred
- Experience working in municipal or public sector environment preferred Knowledge, Skills, and Abilities
- Strong customer service skills and ability to respond diplomatically to resident concerns
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to manage multiple priorities and meet deadlines
- Ability to maintain strict confidentiality and exercise sound judgment
- Ability to work independently and demonstrate initiative
- Ability to interact professionally with elected officials, department directors, staff, and the public
- Ability to maintain accurate records and organized filing systems
- Ability to compile information and prepare correspondence and reports
- Proficiency in Microsoft Office (Word, Excel, Outlook) or similar software
- Ability to learn new technology and software systems
- Ability to exercise diplomacy and professionalism in sensitive situations
- Ability to work effectively under pressure and changing priorities Requirements include the following:
- Valid State of Michigan driver's license required
- Notary Public certification preferred or ability to obtain within six (6) months of hire
