Job Description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide high-level administrative support to senior leadership. The ideal candidate will be a strong communicator, able to manage multiple priorities, handle sensitive information with discretion, and anticipate the needs of executives in a fast-paced environment.
Manage complex calendars, coordinate appointments, and schedule internal and external meetings.
Oversee email management, including drafting correspondence, prioritizing communications, and responding on behalf of executives as appropriate.
Coordinate domestic and international travel arrangements, including itineraries, lodging, transportation, and related logistics.
Prepare and process travel expenses, expense reports, and reimbursement documentation.
Track budgets and assist with expense monitoring and reporting.
Prepare meeting agendas, compile supporting materials, and ensure executives are well prepared in advance of meetings.
Attend meetings, take accurate meeting minutes, and distribute notes and follow-up action items.
Create, edit, and format reports, presentations, spreadsheets, and marketing materials with a high level of accuracy and professionalism.
Maintain organized files, records, and administrative systems.
Support special projects and other executive or departmental initiatives as assigned.
