The Experience You'll Create:
As the Executive Assistant to a Divisional President and Chief People Officer, you will serve as a trusted partner who brings structure, clarity, and momentum to a fast-moving executive agenda. You'll anticipate needs, expertly manage priorities, and create the conditions that allow the President and Chief People Officer to stay focused on strategic growth, leadership, and impact—without getting pulled into unnecessary details.
Communication:
Maintain proactive, clear, and timely communication with internal and external stakeholders on behalf of the Divisional President and the Chief People Officer. Exercise sound judgment in determining priorities, routing information, and responding independently when appropriate. Serve as a key point of connection to ensure follow-through, clarity, and alignment while honoring confidentiality at all times. Effectively drives alignment, responsiveness, and progress across stakeholders without relying on formal authority. Knows when to escalate, when to nudge, and when to independently move work forward to support the Divisional President and Chief People Officer's priorities.
Executive Calendar & Priority Management:
Own and actively manage a Divisional President and the Chief People Officers calendars with a strategic mindset—balancing competing priorities, protecting focus time, and ensuring alignment with business objectives. Anticipate upcoming needs, prepare materials in advance, and ensure meetings are purposeful and outcome-driven. Serve as a gatekeeper to help the President and Chief People Officer remain focused on high-impact work rather than day-to-day distractions. Track follow-ups and commitments to ensure progress and accountability.
Documentation & Meeting Enablement:
Prepare, organize, and maintain executive-level materials including agendas, presentations, action plans, and progress updates. Capture and track key action items and decisions, ensuring continuity and follow-through across meetings. Support productive leadership meetings, reviews, and planning sessions by ensuring materials are clear, accurate, and well-timed.
Client & Business Coordination:
Support business development and client engagement activities by coordinating communications, document reviews, and logistics. Assist with qualifying opportunities, preparing correspondence, and facilitating tours, tastings, and walk-throughs. Partner cross-functionally to ensure next steps are clear, action items are completed, and timelines are met.
Executive Partnership:
Act as a trusted thought partner to the Divisional President and Chief People Officer by providing organization, perspective, and continuity. Help identify priorities, surface risks, and ensure follow-through on key initiatives. Bring a solutions-oriented mindset and the confidence to manage details independently so the President and Chief People Officer can focus on leadership, strategy, and growth. Builds strong, credible relationships across the enterprise—including executives, senior leaders, HR partners, and external stakeholders—by demonstrating professionalism, reliability, discretion, and sound judgment. Act as a connector to ensure alignment, follow-through, and clarity across the People function and broader enterprise.
Operational & Administrative Excellence:
Supports budget tracking, invoice processing, expense management, and coordination with Finance and Legal as appropriate. Maintains organized systems for documents, correspondence, and confidential records. Continuously improve administrative processes to increase efficiency, clarity, and scalability across the Hospitality and the People function. Ingredients for
Thriving:
Bachelor's Degree Business Administration or Hospitality Management strongly preferred. Prior experience will be considered. 5+ years of experience supporting senior or executive-level leaders, with demonstrated success managing complex calendars and competing priorities. Demonstrated ability to anticipate needs, exercise sound judgment, and operate with a high degree of autonomy. Exceptional calendar, time-management, and organizational skills, including the ability to prioritize on behalf of an executive. Proven track record of developing deep trusting relationships and being the go to for the Executives supported Ability to distill complex information and translate details into clear, actionable outcomes. Proven discretion, professionalism, and ability to handle sensitive and confidential information. Demonstrated ability to interact confidently and appropriately with leaders at all levels, reading situations accurately and adapting communication style to support productive outcomes. Strong executive presence and confidence interacting with senior leaders, clients, and external partners. Advanced proficiency with Microsoft Outlook, Excel, PowerPoint, and collaboration tools; ability to quickly adapt to new systems. Location(s) &
