Job Description

Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! This vital role offers the opportunity to support senior leadership by managing complex schedules, coordinating administrative tasks, and ensuring smooth daily operations. Duties Manage and coordinate executive calendars, appointments, and meetings with precision and efficiency Handle incoming calls using multi-line phone systems, directing inquiries professionally and promptly Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy Organize files, maintain records, and oversee data entry tasks using office management software such as Microsoft Office and Google Workspace Provide exceptional customer support at the front desk, greeting visitors and managing office inquiries with friendly professionalism Assist with bookkeeping tasks utilizing QuickBooks for invoicing, expense tracking, and financial record-keeping Support personal assistant responsibilities including travel arrangements, calendar management, and task prioritization Requirements Proven experience as an Executive Assistant or in a similar administrative role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills Excellent organizational skills with the ability to manage multiple priorities effectively Bilingual abilities are highly desirable to assist diverse client needs Experience with office management tasks such as filing, proofreading, and clerical support Knowledge of multi-line phone systems, phone etiquette, and customer service best practices Prior experience in medical or dental receptionist roles is a plus but not required Personal assistant experience including calendar management and scheduling is preferred Demonstrated time management skills with the ability to meet deadlines efficiently Join us to be part of a vibrant team dedicated to excellence! Pay:
$51,815.96 - $62,402.02 per year
