Job Location:
This position is located at the Howerton State Office Building ; 615 Howerton Court, Jefferson City, MO. Why you'll love this position: This is a senior-level position providing critical, high-level support to the Chief Technology and Chief Data Officers. In this pivotal role, you will transcend traditional administrative support by overseeing complex IT procurement documentation, assisting with broad data governance program support, and facilitating key project lifecycles within our DSS Technology Team. We are seeking a proactive, technically minded professional who thrives in a fast-paced executive-level environment and is ready to drive excellence for Missouri DSS's technology initiatives. Responsibilities - What you'll do
High-Stakes Liaison:
Act as the principal point of contact for the Chief Technology and Data officers, exercising high-level judgment in screening and routing inquiries, sensitive inter-agency communications, and executive-level briefings.
Proactive Problem Solving:
A self-starter mindset capable of managing shifting priorities, anticipating scheduling conflicts, and unblocking administrative bottlenecks before they impact the executives.
Procurement & Technical Quality Assurance:
Lead the quality control process for critical technical documents including Requests for Proposal (RFPs), Project Assessment Quotations (PAQs), Information Technology Advisory Board (ITAC) submissions and project deliverables. Ensure all documentation meets rigorous state standards and technical specifications.
Intranet Content Management:
Hands-on experience updating, formatting, and maintaining departmental intranet sites (via SharePoint or similar Content Management Systems) to ensure internal communications are accurate and up to date.
Technical Literacy & Transcription:
Ability to sit in on high-level IT and Data leadership meetings, comprehend dense technical discussions (architecture, data pipelines, infrastructure), and accurately synthesize them into clear, actionable technical notes, decisions, and trackable milestones.
SharePoint Administration & Architecture:
Proven experience building, organizing, and maintaining SharePoint site architecture. Must understand how to structure document libraries, manage permissions, enforce strict version control, and utilize SharePoint workflows to automate administrative processes.
Logistics & Financial Oversight:
Experience compiling and managing complex, travel itineraries and full-scale conference logistics (registrations, lodging, transport, speaking schedules) for the CDO and CTO, as well as oversee expense reporting and time-management summarization, ensuring compliance with state budgetary policies and federal guidelines.
Emergency Operations:
Serve as the designated Safety Coordinator/Floor Captain, leading unit-level safety protocols and business continuity planning.
High Discretion & Security Awareness:
Absolute trustworthiness when handling proprietary data, pending vendor contracts, intellectual property, and sensitive personnel information.
Cross-Functional Communication:
Excellent verbal and written communication skills, with the confidence to interface effectively with software engineers, data scientists, legal teams, external vendors, and other executive leadership. Qualifications - All you need for success
Minimum Qualifications:
3-5 years of relevant experience. (Substitutions may be allowed.)
Technical Literacy:
Advanced proficiency in Microsoft 365, with specific expertise in SharePoint administration, Excel data management, and collaborative document versioning tools.
Strategic Communication:
Superior written and verbal communication skills, with the ability to translate complex IT concepts into concise executive summaries.
Critical Decision Making:
Proven ability to work with a high degree of autonomy, prioritizing competing demands from multiple C-Suite executives while maintaining meticulous attention to detail.
Institutional Knowledge:
Previous experience in a high-pressure executive environment, ideally within State government, IT procurement, or a large-scale data-driven organization.
Preferred Qualifications:
Good communication skills, both verbal and written along with great attention to detail. Ability to independently prioritize work, multitask, and make decisions based on agency operations, policies and procedures. Comfortable with routinely shifting demands and working for multiple staff members. Have previous administrative assistant experience. Lack of post‐secondary education will not be used as the sole basis denying consideration to any applicant.
