Do you naturally anticipate needs, follow through on details, and bring order to competing priorities? If you are highly organized, proactive, resourceful, and comfortable operating close to senior leadership, this may be the right role for you. We are a growing multi-entity organization operating across real estate, property management and operations, construction, and related business ventures. We are seeking an Executive Assistant who will report directly to the Chief Operating Officer and serve as a key extension of the COO in helping coordinate priorities, communication, projects, and day-to-day execution across the organization. This is not a traditional administrative-only position. The right person will be expected to take ownership, think ahead, protect the COO's time, maintain visibility over important priorities, and help ensure that commitments and initiatives continue moving forward. Responsibilities Assist with management and execution of special projects and initiatives involving property management, real estate, construction, operations, and other affiliated businesses Serve as a central point of coordination between the COO and team members across multiple business entities and departments Assist with completion of administrative tasks and items; including, but not limited to organization and tracking of vehicle and mobile home titles, license and permits, real property and personal property taxes, and completion of mission-critical correspondence and documents Organize, prioritize, and track action items, commitments, deadlines, and follow-up items on behalf of the COO and others Prepare meeting agendas, notes, summaries, reports, correspondence, and supporting materials Ensure important matters receive timely follow-up and that commitments do not fall through the cracks Help organize information and communications so the COO can quickly identify priorities, decisions, and issues requiring attention Coordinate with department leaders and team members to obtain updates, information, documents, and deliverables Draft and prepare professional emails, letters, reports, presentations, and internal communications Maintain organized records, files, documents, and executive-level information Help improve administrative systems, workflows, and processes that increase executive and organizational efficiency Anticipate needs, identify potential problems, and proactively take action before issues become larger Handle confidential, sensitive, and executive-level information with professionalism and discretion Assist with research, data gathering, reporting, and other operational or administrative needs as assigned Jump in where needed to remove bottlenecks and help keep priorities moving across the organization Qualifications Proven ability to stay highly organized while managing multiple priorities, deadlines, and competing demands Exceptional attention to detail with a strong ability to catch errors, inconsistencies, and unfinished items Naturally proactive and anticipatory - you look ahead, identify what needs to happen next, and take action without waiting to be told Strong follow-through and personal accountability Ability to operate independently with minimal oversight while knowing when escalation or executive input is needed Strong written and verbal communication skills Professional judgment and discretion when handling confidential or sensitive information Ability to work effectively with executives, managers, employees, vendors, clients, and other stakeholders Comfortable operating in a fast-moving environment where priorities may change quickly Resourceful problem solver who can work through ambiguity and find solutions Strong ability to organize information and communicate complex matters clearly and concisely Comfortable using Excel, Microsoft 365, AI tools, project management software, and other business systems Ability and willingness to quickly learn new software, systems, and processes Experience supporting senior executives or working in real estate, property management, construction, legal, finance, or another operationally complex organization is preferred Bachelor's Degree or above preferred The ideal candidate is someone who takes pride in being dependable, organized, responsive, and trusted.
