We are seeking an experienced Executive Assistant to join our team and support the law firm owner/attorney in managing a staff of 25+ highly skilled personnel. In this role, you will be responsible for handling a wide range of administrative tasks and projects with the highest level of efficiency, confidentiality, and positivity. You will also have the opportunity to assist with project management and help facilitate the effective practice of law. To be successful in this role, you should have a background in executive assistance, excellent communication skills, AI experience and orientation, and the ability to anticipate needs. Additionally, you should have management experience, personal injury paralegal experience, financial knowledge, and proficiency with technology. We are looking for someone who is smart, has excellent judgment, is positive, hardworking, and able to provide real-time feedback to a busy executive. In this role, you will have the chance to work with a talented and likeable team, as well as take on a variety of responsibilities including complex calendar management, meeting management, communication with the law firm, email management, and personal and professional administrative tasks. You will be responsible for supporting the initiatives of the law firm and its owner, and helping us achieve our goals of extreme client and employee delight. RESPONSIBILITIES
The EA will have the following primary responsibilities: Heavily AI utilization and orientation for task completion Complex calendar management and scheduling Meeting management including preparing agendas, printing reports, taking notes, and distributing action items Communicating throughout the law firm, on the owner's behalf, both internally and externally Email management on behalf of the owner Arranging, attending and assisting in-person meetings multiple times per week including but not limited to meetings and delegated tasks Varying personal and professional administrative tasks including but not limited to booking appointments, research projects, and coordinating travel, leveraging EA tasks to the PA and other non-executive staff through delegation as appropriate Assisting with project management
